The available position is an Administrative Support Specialist role based in Bell County. The role is essential in maintaining smooth operations within county departments by providing high-level administrative and customer service support.
The Administrative Support Specialist is responsible for assisting both internal departments and the general public with various clerical tasks and customer service functions. This includes handling complex billing inquiries, resolving service complaints, addressing account discrepancies, and managing payment installment arrangements. Candidates will be expected to demonstrate excellent communication skills as they respond to inquiries, provide specialized information, and interact diplomatically with citizens and other departmental teams.
Key responsibilities involve managing official documents such as permits, licenses, vehicle titles, registrations, and business licenses. The role also entails answering phone calls, distributing mail, entering data into departmental databases, maintaining inventories, and keeping up-to-date department references including vendor lists and code books. Organizational duties such as preparing and maintaining files, processing applications for prospective applicants, and photocopying and distributing paperwork are critical to this position. This role requires accuracy, attention to detail, and the ability to work independently while ensuring compliance with county policies and procedures.
Applicants should be prepared for sedentary work with some light physical activity, such as walking or standing, and tasks that may require up to 10 pounds of force or prolonged keyboard work. The position also mandates possession of a valid state driver’s license with an acceptable driving record and fluency in English. Job Duties
- Provides high-level customer service
- assists customers with complex billing issues, service complaints, account discrepancies and payment installment arrangements
- responds to inquiries and requests from the public and other departments
- provides general and specialized information regarding assigned functions that require the use of judgment, tact and sensitivity and the interpretation of policies, rules and procedures
- receives payments for permits and/or licenses such as vehicle titles and registrations, business licenses, etc.
- answers office telephones
- provides assistance, requested documents and information
- refers callers to other staff members as appropriate
- and takes messages
- receives, dates, and distributes incoming mail
- maintains assigned inventories
- enters information into department programs and databases
- maintains department/program references such as vendor lists, code books, training manuals, standard operating procedures, and mailing lists
- prepares folders
- maintains files of department correspondence, program records, legal documents, etc.
- photocopies documents and distributes and/or files
- requests information from other departments as necessary to complete department records/files
- reviews applications and other pertinent information to verify accuracy and completeness and process applications for prospective applicants
- performs related work as required
