We are currently seeking a dedicated Dental Receptionist to become the welcoming face of our practice and the pivotal first point of contact for all patients and visitors. This role is crucial as it bridges communication between patients and our dental care team, facilitating access to essential services. The Dental Receptionist will be responsible for managing all front desk operations, including greeting patients, managing appointment schedules, processing financial information, and maintaining accurate patient records. A key component of this position involves effective bilingual communication in both Spanish and English to ensure all patients can navigate the clinic with ease and confidence.

The ideal candidate will possess excellent interpersonal skills, exhibit empathy and professionalism, and have the ability to multitask efficiently in a fast-paced healthcare environment. Fluency in Spanish is strongly desired to meet the needs of our diverse patient base. Responsibilities also include managing confidential information in compliance with HIPAA, assisting patients with forms, coordinating special services like interpreter assistance and transportation, and supporting the overall administrative functions of the clinic. Job Requirements

  • High school diploma
  • previous experience in administrative customer service
  • proficiency in computer operations and software use
  • strong communication skills in English
  • fluency in Spanish

  • ability to multitask and manage schedules efficiently

Job Qualifications

  • High school diploma
  • previous employment in an administrative role performing customer service
  • understanding of professional customer service
  • training in record maintenance and infection prevention is preferred
  • skilled in basic computer operation and software programs with the ability to learn new software
  • ability to comprehend and use basic language for professional communication
  • fluency in Spanish strongly desired
  • ability to display professionalism in a healthcare setting
  • ability to work with a diverse population
  • ability to communicate effectively in English and Spanish with patients, staff, students, and volunteers

Job Duties

  • Greet all patients and visitors who enter the clinic
  • display professionalism and use a pleasant voice and friendly manner in the office environment
  • complete all phases of patient intake including starting electronic records, documenting complaints, screening financial eligibility, and collecting fees
  • accurately input and update patient data in records
  • verify financial information for eligibility, requesting insurance or proof of income
  • assist patients in completing forms
  • schedule appointments efficiently to maximize availability
  • accurately complete checkout process including payment collection and adjustments
  • answer and direct telephone calls and respond to messages
  • document patient concerns and inform the director as needed
  • arrange special services such as interpreter and transportation services
  • coordinate schedule changes with assistants
  • make appointment confirmation calls and send reminder emails or texts
  • maintain strict adherence to HIPAA regulations
  • secure confidential information by locking equipment and logging off when unattended
  • verify daily payments and deposit reports and report discrepancies
  • perform general clerical duties
  • restock office forms and supplies and notify director when needed
  • post notices about clinic hours or closures
  • assist with office equipment maintenance
  • provide information on clinic policies and services and refer patients to other resources
  • collaborate with other department staff
  • assist students and NWTC staff
  • maintain cleanliness of reception area
  • translate when necessary
