This full-time position as a Care Advocate at the Springfield Practice is integral to the efficient operation of the clinic and the enhancement of patient experience. Scheduled for three 10-hour days per week, this role offers a competitive hourly wage between $20 and $23, reflective of the candidate's education, skills, and experience. The Care Advocate acts as a vital link between patients, clinical staff, doctors, and practice managers, coordinating patient flow and ensuring seamless communication across all parties involved in patient care.
The role requires a dedicated individual who will oversee daily scheduling with a focus on optimizing efficiency and accuracy, manage payments and financial transactions related to dental services, and support the preparation and maintenance of patient records in line with clinic protocols. The Care Advocate also plays a key role in reinforcing provider recommendations, supporting treatment completion, and facilitating patient understanding of their oral health plans. By engaging patients actively in their care journey, the position contributes significantly to the strengthening of the therapeutic alliance between dental professionals and those they serve.
The position reports directly to the Practice Administrator and requires a high level of responsibility in managing both administrative tasks and patient interactions. The candidate will be expected to uphold Willamette Dental’s strict adherence to personal protective equipment (PPE) policies and to demonstrate both reliability and flexibility, including the potential to travel to nearby locations as needed. This commitment ensures not only compliance with regulatory standards but also the safety and trust of all patients and staff.

Job Requirements
- high school diploma or GED required
- post-secondary coursework desirable or equivalent combination of education and experience
- minimum of two years customer service experience preferred
- medical or dental clinic experience highly desirable
- strong knowledge of HIPAA compliance procedures
- ability to demonstrate educational requirements regarding care advocacy in electronic exam
- ability to demonstrate case presentations to Managing Doctor and Practice Manager
Job Qualifications

- knowledge of dental office procedures
- experience with scheduling and payment processing
- strong communication skills
- proficiency with electronic health records

Job Duties
- oversee the daily schedule
- seek opportunity to maximize scheduling efficiencies
- maintain awareness of schedule changes
- promptly identify and correct scheduling errors
- understand payment methods and communicate fee requirements to patients
- collect and document payments for dental services
- responsible for proper handling of monies
- accurately balance daily payment ledger and reconcile payments
- properly complete M.O.O.L.A.H. form and forward to Accounting Department
- accurately complete deposit slips and make timely daily bank deposits
- update patient card
- confirm and verify insurance information
- schedule treatment as directed by clinicians
- ensure charts are organized, prepared and available for patient appointments
- use proper chart routing processes
- perform chart maintenance as needed
- prepare new patient charts according to current WD guidelines
- duplicate charts and records as requested
- initiate a partnership and build rapport with patients by providing thorough and accurate information and addressing any patient questions or concerns
- provide Statement of Services at each visit
- responsible for opening and closing the clinic
- keep reception area neat and clean
- partner with clinical team to enhance understanding of dental procedures, treatment series and interventions
- partner with clinical team to understand provider's expectations and reiterate communication directives to the patient
- partner with clinical team to triage incoming emergency and unplanned treatment calls
- ensure coordination of care by scheduling and reinforcing recalls, referrals to internal and external providers and answering patient questions
- strictly adhere to PPE policy including use of N95 respirators
- demonstrate flexibility to travel to other WD locations as needed
- maintain reliable and predictable attendance
