The Customer Support Specialist role at API plays a crucial part in maintaining the high standards of operational support and customer service that API promises its clients. This position involves working closely with clients and internal departments to ensure that client requirements are met efficiently and effectively. The specialist handles a variety of requests through multiple communication channels like phone, email, fax, and API’s internal systems. They are responsible for prioritizing requests, building strong client relationships, negotiating with vendors including hotels and ground transportation providers, and resolving any operational issues professionally and promptly. This role requires someone who is adaptable, detail-oriented, and can work collaboratively within a team or independently.

The position is full-time, requiring flexibility to work morning, mid-day, evening, and overnight shifts including weekends and overtime when necessary. The pay range for this role is competitive, with compensation between $22.00 and $25.00 per hour, reflecting the importance of this role within API’s operational framework. The role also includes certification through API’s Operations Agent process and ongoing learning related to reservation systems and operational best practices, offering excellent opportunities for professional growth and development.

Job Requirements

  • One to two years’ experience in airline, hotel and/or travel industry
  • Ability to work varied shifts including mornings, evenings, overnight, weekends and overtime
  • Flexibility to adapt to changing schedules
  • Ability to prioritize workload effectively
  • Strong communication skills
  • Proficient in reservation systems and Microsoft Office
  • Ability to maintain punctuality and adhere to agreed working hours
  • Professional demeanor and customer service focus

Job Qualifications

  • One to two years’ airline, hotel or travel industry experience
  • Excellent understanding of reservation systems, hotel room blocks, rate structures, payment forms and booking processes
  • Strong computer skills including airline and hotel reservation systems experience
  • Proficient with Microsoft Excel, Word, Outlook and internet research
  • Knowledge of ground transportation reservations
  • Knowledge of hotel chains, categories and locations
  • Strong time management and prioritization skills
  • Excellent verbal and written communication skills
  • Ability to actively listen and engage across varied communication modes
  • Customer service orientation with outstanding relationship management skills
  • Bilingual in English and Spanish is a plus

Job Duties

  • Learn and maintain API procedures for work methodology, reservations systems and ACES
  • Complete Operations Agent certification process
  • Process all client requests received via phone, email, fax, or API systems
  • Assess client requirements in order of priority
  • Ensure hotel and transportation requests are completed
  • Build and maintain business relationships with clients
  • Alert management for critical issues requiring resolution
  • Negotiate with vendors including hotels and ground transportation
  • Resolve client disagreements professionally
  • Work independently or within a team environment
  • Maintain punctuality and respect agreed working hours
  • Perform other duties as assigned to support operational goals
