Job Requirements

  • High school diploma or GED
  • 3-5 years of relevant customer service or data-entry experience
  • knowledge of Indiana vital-records law and HIPAA
  • ability to maintain high accuracy and attention to detail
  • strong communication and customer service skills
  • ability to work in a fast-paced, deadline-driven environment
  • capability to stand and sit for prolonged periods
  • ability to lift up to 15 lbs
  • willingness to work scheduled evenings and Saturdays
  • experience with data entry systems preferred

Job Qualifications

  • High school diploma or GED
  • preferred associate degree
  • 3-5 years of customer service or data-entry work, vital records preferred
  • preferred Vital Records Professional certification
  • customer service excellence and tact with diverse populations
  • data accuracy and speed in high-volume, deadline-driven setting
  • working knowledge of Indiana vital-records law, HIPAA, and confidentiality
  • ability to multitask between counter duties and detailed data work
  • team orientation
  • availability to cover evening shifts and a designated Saturday shift

Job Duties

  • Greet and queue customers, confirm legal eligibility, request and record IDs
  • locate, verify, and issue certified or non-certified copies of birth, death, fetal, and paternity-affidavit records
  • perform genealogy searches and schedule correction appointments
  • index 20 legacy images per day into OnBase/Netsmart and add relevant keywords
  • enter new birth data and process amendments maintaining 1 percent error rate
  • conduct weekly self-audits and flag discrepancies to supervisor
  • enforce HIPAA, state vital-records statutes, and confidentiality rules
  • secure workstation, cash drawer, and certificate stock
  • account for voided documents
  • verify records for military personnel and law enforcement officers by legal guidelines
  • cover peer stations, relieve for breaks, and train new hires as needed
  • participate in public health emergency preparedness exercises and response
  • participate in minimum of two H.O.P.E. events annually
  • perform other duties as assigned
