McGuireWoods is seeking a Corporate Travel Specialist to join its Business Services team. This vital role administers and oversees the firm’s comprehensive corporate travel program, ensuring smooth operations across travel management companies (TMC), in-house agent teams, booking tools, and corporate card programs. The position demands a highly detail-oriented and financially savvy professional who can skillfully negotiate supplier contracts, analyze agreements, and ensure compliance with company policies, budgets, and risk management standards. This individual will lead supplier sourcing and vendor management activities, supporting the firm’s corporate travel needs while also offering critical logistics assistance for legal trials and firm-wide events.
As part of the role, the Corporate Travel Specialist will manage day-to-day corporate travel operations, serve as the escalation point for complex travel issues, and conduct annual business reviews with travel partners. They will also lead negotiation efforts for preferred hotel, airline, and car rental agreements, coordinating with office administrators to identify preferred local properties and integrate competitive rates into the travel portals. Training employees on travel policies and tools will be another important responsibility, acting as a subject matter expert and program ambassador to ensure that staff and attorneys strictly adhere to company protocols.
Additionally, the role includes providing logistical support for legal trials—handling hotel blocks, conference rooms, transportation, meals, and shipment of essential documents and equipment. It also covers assistance for international travelers with visas and passports, as well as coordination for large meetings and partner retreats. The Corporate Travel Specialist will partner with managers and subject matter experts to research and implement cost-effective supplier programs, track purchase orders, and monitor potential client-vendor conflicts.
The specialist is also responsible for managing budgets related to travel and other cost centers, producing analytical reports, tracking cost savings, and preparing performance metrics dashboards. Keeping policies, processes, and standard operating procedures (SOPs) up to date with industry best practices and risk standards is an ongoing task. The role offers the flexibility to be based primarily in the Richmond office but is also available in Raleigh, Charlotte, Tysons, or Washington DC. This position requires occasional overtime and travel but provides an excellent opportunity to work with a prestigious global law firm while developing expertise in travel and procurement management within a professional services environment.

Job Requirements
- Bachelor’s degree
- Minimum 3 years experience in travel, procurement, or vendor/contract administration
- Experience with travel management company negotiations
- Strong negotiation and contract analysis skills
- Proficiency in budgeting and Excel
- Excellent communication and project management abilities
- Detail-oriented and organized
- Ability to work independently
- Willingness to work occasional overtime and travel
- Law firm or professional services experience preferred

- Past experience with TMC negotiations
- Bachelor’s degree plus 3+ years in travel, procurement, or vendor/contract administration

Job Duties
- Manage day-to-day corporate travel operations including TMC, online booking tool, and travel portal
- Serve as primary escalation point for complex travel issues and lead annual business reviews with TMC
- Negotiate preferred hotel, air, and car rental agreements and coordinate with office administrators to identify local preferred properties
- Train employees on travel tools and policies and act as program ambassador
- Administer corporate credit card and Business Travel Account programs including reconciliation, reporting, and payment
- Provide logistics support for trials including hotel blocks, transportation, conference rooms, meals, and shipping of documents
- Assist international travelers with visas, passports, and documentation
- Support large meetings and events including room blocks and specialized air arrangements
- Partner with managers and SMEs to identify goods and services and present options
- Implement and optimize firm-wide supplier programs and identify cost-saving opportunities
- Establish and manage vendor relationships ensuring adherence to SLAs and contractual obligations
- Lead and support RFP/RFQ/RFI processes
- Review, draft, and negotiate contract terms and pricing
- Place and track purchase orders and communicate delivery timelines
- Monitor potential client-vendor conflicts and coordinate with stakeholders
- Prepare and manage budgets for assigned accounts and contribute to department budgets
- Research and explain monthly variances and support forecasting and reconciliation
- Track cost savings and produce performance dashboards
- Maintain and recommend updates to travel and procurement policies
- Develop and maintain SOPs and guidelines
- Keep updated on industry trends, best practices, and risk standards
