McGuireWoods is currently seeking a Corporate Travel Specialist to join their Business Services team. This critical role is responsible for administering and managing the firm’s corporate travel program, ensuring smooth, efficient, and cost-effective travel solutions for attorneys and staff across all offices. The Corporate Travel Specialist oversees daily travel operations including managing the travel management company (TMC), coordinating an in-house travel agent team, administering booking tools, and managing corporate card programs. The position requires close collaboration with multiple stakeholders to maintain compliance with corporate travel policies, budgets, and risk management standards.

The role requires a detail-oriented and financially savvy individual who excels at negotiation, contract analysis, and client service. The Corporate Travel Specialist will lead initiatives such as supplier sourcing and negotiations to secure preferred rates with hotels, airlines, and car rental agencies. The position also involves providing logistical support for legal trials, firm events, and complex large-scale meetings. Additionally, the Specialist will be responsible for budget management, reporting and forecasting travel expenditures, and identifying opportunities for cost savings and program enhancements.

Ideal candidates will have expertise in corporate travel operations and procurement best practices, experience with vendor and contract management, and the ability to perform detailed financial analysis using tools like Excel. Strong communication, stakeholder engagement, and project management skills are essential to effectively liaise across departments, offices, and external vendors. The Corporate Travel Specialist will also serve as a subject matter expert on travel tools and policies, leading employee training and acting as a program ambassador to promote adherence to firm-wide standards.

This role is available in the Richmond office (preferred), as well as Raleigh, Charlotte, Tysons, and Washington DC offices. Occasional overtime and travel may be required, emphasizing the importance of flexibility and responsiveness. Job Requirements

  • Bachelor’s degree
  • Minimum three years of experience in travel procurement or vendor contract administration
  • Proven expertise in corporate travel operations
  • Strong negotiation skills
  • Ability to manage vendor relationships and contracts
  • Financial proficiency including budgeting and variance analysis
  • Excellent communication and stakeholder management skills
  • Ability to work independently and stay organized
  • Availability for occasional overtime and travel

Job Qualifications

Job Duties

  • Manage day-to-day corporate travel operations including the TMC online booking tool and travel portal
  • Serve as the primary escalation point for complex travel issues for attorneys and staff
  • Lead annual business reviews with the travel management company
  • Negotiate preferred hotel, air, and car rental agreements
  • Coordinate with office administrators to identify local preferred properties and load rates into tools and portals
  • Train employees on travel tools and policies and act as subject matter expert and program ambassador
  • Administer corporate credit card and Business Travel Account programs ensuring timely reconciliation reporting and payment
  • Provide logistics support for trials including hotel blocks conference rooms audiovisual transportation meals and shipping of documents and equipment
  • Assist international travelers with visas passports and required documentation
  • Support large meetings and events including room blocks direct billing and specialized air arrangements
  • Serve as liaison across departments and offices to ensure coordinated service delivery
  • Partner with managers and subject matter experts to identify goods and services
  • Research and present viable supplier options
  • Implement and optimize firm-wide supplier programs
  • Identify cost-saving opportunities and new solutions
  • Establish and manage vendor relationships ensuring performance against service level agreements contractual obligations and firm policies
  • Lead and support RFP RFQ RFI processes serving as primary contact for internal clients and bidders
  • Review draft and negotiate contract terms and pricing
  • Track contractual obligations renewals and key dates maintaining electronic contract records
  • Place and track purchase orders communicating delivery timelines and confirming receipt
  • Monitor potential client vendor conflicts and coordinate with stakeholders accordingly
  • Prepare and manage budgets for assigned general ledger accounts and travel-related cost centers contributing to department budgets
  • Research and explain monthly variances supporting forecasting and reconciliation
  • Track cost savings and performance metrics producing periodic dashboards and status updates
  • Maintain and recommend updates to corporate travel and procurement policies annually
  • Develop document and maintain standard operating procedures and guidelines distributed to stakeholders
  • Maintain current knowledge of industry trends best practices risk security standards and enabling technologies
