The Corporate Travel Specialist position at McGuireWoods offers a unique opportunity to join a well-respected law firm’s Business Services team, aimed at overseeing and enhancing the firm’s comprehensive corporate travel program. This role is vital in administering the travel management company (TMC), supervising the in-house agent team, and managing key booking tools and corporate card programs. The Corporate Travel Specialist plays an instrumental role in leading supplier sourcing and negotiating agreements with hotels, airlines, and car rental providers, ensuring the firm obtains competitive rates and maintains beneficial relationships with vendors. Additionally, the position involves upholding travel policies, budget compliance, and risk standards to safeguard the firm's travel expenditures and mitigate potential issues.

Job Requirements
- Bachelor’s degree
- minimum 3 years experience in travel, procurement, or vendor contract administration
- strong negotiation and contract analysis skills
- proficiency in budgeting and financial analysis
- excellent communication and stakeholder management
- ability to work independently and manage multiple priorities
- knowledge of corporate travel companies and procurement best practices
- willingness to travel occasionally and work overtime if required
Job Qualifications
- Expertise in corporate travel operations and procurement best practices
- past experience with TMC negotiations preferred
- bachelor’s degree plus 3+ years in travel, procurement, or vendor/contract administration
- law firm or professional services experience preferred
- strong negotiation, vendor management, and contract analysis skills
- financial savvy including budgeting and variance analysis
- proficiency in Excel
- excellent communication, stakeholder management, and project management skills
- detail-oriented and organized
- able to work independently
- occasional overtime and travel may be required
Job Duties
- Manage day-to-day corporate travel operations including TMC, online booking tool, and travel portal
- serve as primary escalation point for complex travel issues and lead annual business reviews with TMC
- negotiate preferred hotel, air, and car rental agreements and coordinate with office administrators on local preferred properties
- train employees on travel tools and policies and act as SME and program ambassador
- administer corporate credit card and Business Travel Account programs ensuring timely reconciliation and payment
- provide logistics support for trials including hotel blocks, AV, transportation, and meals
- assist international travelers with visas and passports
- support large meetings and events including room blocks and specialized air arrangements
- serve as liaison across departments and offices for coordinated service delivery
- partner with managers to identify goods and services and present viable options
- implement and optimize firm-wide supplier programs and identify cost-saving opportunities
- establish and manage vendor relationships ensuring performance against SLAs and contracts
- lead RFP/RFQ/RFI processes and serve as contact for clients and bidders
- review, draft, and negotiate contracts
- track purchase orders and delivery timelines
- monitor client-vendor conflicts and coordinate with stakeholders
- prepare and manage budgets for travel-related cost centers
- research monthly variances and support forecasting and reconciliation
- track cost savings and produce dashboards
- maintain and recommend updates to travel and procurement policies
- develop and maintain SOPs and guidelines
- stay current on industry trends and standards
