The Corporate Travel Specialist position at McGuireWoods is a crucial role within the Business Services team, responsible for managing the firm’s corporate travel program and ensuring smooth, cost-effective, and compliant travel operations. This role involves extensive interaction with the travel management company (TMC), overseeing the in-house agent team, managing booking tools, and administering corporate card programs. The specialist will lead supplier sourcing and conduct negotiations to secure optimal agreements for hotel, air, and car rental services, while maintaining adherence to policies, budgets, and risk management standards.
Beyond daily administrative tasks, this position supports critical legal trials and firm events by coordinating complex logistics such as hotel blocks, conference rooms, transportation, and meals. The role requires a detail-oriented professional who is financially savvy and possesses strong negotiation, contract analysis, and client service skills. Expertise in corporate travel policies, procurement best practices, and vendor management is essential for success in this role.
The role is available primarily in the Richmond office but also offers opportunities in the Raleigh, Charlotte, Tysons, or Washington DC locations. Job Requirements
- Bachelor’s degree
- 3+ years experience in travel, procurement, or vendor/contract administration
- Expertise in corporate travel operations
- Strong negotiation skills
- Financial literacy including budgeting and variance analysis
- Proficiency in Excel
- Excellent communication skills
- Ability to work independently
- Willingness to travel occasionally
- Ability to work overtime as needed
Job Qualifications
- Expertise in corporate travel operations and procurement best practices
- Past experience with TMC negotiations preferred
- Bachelor’s degree plus 3+ years in travel, procurement, or vendor/contract administration
- Law firm or professional services experience preferred
- Strong negotiation, vendor management, and contract analysis skills
- Financial savvy including budgeting, variance analysis, and Excel proficiency
- Excellent communication, stakeholder management, and project management skills
- Detail-oriented, organized, and able to work independently
- Occasional overtime and travel may be required
Job Duties
- Manage day-to-day corporate travel operations including the TMC, online booking tool, and travel portal
- Serve as the primary escalation point for complex travel issues for attorneys and staff
- Lead negotiations for preferred hotel, air, and car rental agreements
- Train employees on travel tools and policies
- Administer corporate credit card and business travel account programs ensuring timely reconciliation and payment
- Provide logistics support for legal trials including hotel blocks, conference rooms, AV, transportation, and meals
- Support large meetings and firm events including room blocks and specialized air arrangements
