This opportunity as a Corporate Meeting and Incentive Event Program Manager offers a dynamic and impactful role where you will act as the primary liaison between clients and suppliers for high-profile corporate meeting and incentive events. This role requires managing intricate project timelines, overseeing supplier contracts, coordinating with IT and support teams, and ensuring that each event runs seamlessly from planning stages through to execution. You will be responsible for conducting site inspections, managing detailed program itineraries, and maintaining meticulous records that align with American Express standards.

Your expertise will be vital in handling registration processes, coordinating ancillary vendors such as security and photographers, and managing VIP logistics to ensure memorable experiences for attendees. Budget oversight is a critical component, involving auditing billing information and tracking expenses to provide clear financial communication with clients. Job Requirements

  • 5-10 years of experience in meeting planning specifically with incentives and C-level events
  • CMP certification or equivalent experience is preferred
  • Exceptional communication skills at all management levels
  • Professional demeanor and appearance
  • Strong organizational skills to meet deadlines and handle changes effectively
  • Advanced skills in oral and written communication as well as analytical thinking
  • Intermediate proficiency in Microsoft Word and Excel
  • Experience with meeting technology particularly Cvent for attendee registration is advantageous
  • Willingness to travel as required

Job Duties

  • Develop and manage project timelines establishing workflows with clients and vendors to ensure efficient operations for every program
  • Review negotiate and oversee supplier contracts ensuring all terms protect both GBT and the client managing key details like deadlines and cancellation policies
  • Act as the communication bridge between IT support and clients to meet program web requirements
  • Conduct site inspections and manage program details producing comprehensive itineraries and agendas outlining all specifics
  • Maintain meticulous records and file management in accordance with American Express policies
  • Collaborate with team members to manage registration needs and maintain open communication throughout each program's lifecycle
  • Source and coordinate ancillary vendors such as security and photographers
  • Manage special projects and VIP logistics developing strong relationships with clients and suppliers
  • Oversee program budgets auditing billing information for accuracy and tracking expenses to communicate with clients effectively
