This role presents an exciting opportunity to become the primary liaison for corporate meeting and incentive event programs within Amex GBT. The position is integral to the successful planning and execution of high-profile meetings and exclusive incentive events, often targeted at C-level executives and other distinguished guests. The Corporate Meeting and Incentive Event Manager is tasked with managing complex project timelines, establishing efficient workflows between clients and vendors, and ensuring every detail of each program is flawlessly executed. From contracting suppliers and negotiating terms that safeguard both the company and clients to conducting on-site inspections and producing detailed itineraries, this role demands meticulous attention to detail and superior organizational skills.

Additionally, the manager will interface with IT support to meet program-specific web requirements, oversee ancillary vendor coordination including security and photography, and manage special projects and VIP logistics. Effective budget oversight and billing audits are crucial responsibilities to maintain financial integrity and transparency with clients. This role not only requires exceptional communication skills and a professional demeanor but also demands proficiency with meeting technology platforms like Cvent, and intermediate expertise in Microsoft Word and Excel. Willingness to travel is an essential component of this position, reflecting the dynamic and on-the-go nature of corporate event management.

Job Requirements

  • Bachelor's degree or equivalent experience in event management or related field
  • 5-10 years of experience in meeting planning with proven expertise in incentives and C-level event planning
  • CMP certification or demonstrated equivalent professional experience
  • Strong communication and negotiation skills
  • Demonstrated ability to manage multiple projects and adhere to strict deadlines
  • Proficiency in Microsoft Word and Excel
  • Experience with Cvent or similar meeting technology platforms
  • Professional appearance and demeanor
  • Ability to travel as needed
  • Meticulous attention to detail and excellent organizational capabilities

Job Qualifications

  • 5-10 years of experience in meeting planning specifically with incentives and C-level events
  • CMP certification or equivalent experience is preferred
  • Exceptional communication skills at all management levels
  • Professional demeanor and appearance
  • Strong organizational skills to meet deadlines and handle changes effectively
  • Advanced skills in oral and written communication as well as analytical thinking

Job Duties

  • Develop and manage project timelines establishing workflows with clients and vendors to ensure efficient operations for every program
  • Review negotiate and oversee supplier contracts ensuring all terms protect both GBT and the client managing key details like deadlines and cancellation policies
  • Act as the communication bridge between IT support and clients to meet program web requirements
  • Conduct site inspections and manage program details producing comprehensive itineraries and agendas outlining all specifics
  • Maintain meticulous records and file management in accordance with American Express policies
  • Collaborate with team members to manage registration needs and maintain open communication throughout each program's lifecycle
  • Source and coordinate ancillary vendors such as security and photographers
  • Manage special projects and VIP logistics developing strong relationships with clients and suppliers
  • Oversee program budgets auditing billing information for accuracy and tracking expenses to communicate with clients effectively
