The role of Corporate Event Specialist, also known internally as Project Specialist, at Carolina Handling is critical in managing corporate events, incentive travel planning, and various projects independently from conception through to completion. This role demands a dynamic individual capable of handling multiple responsibilities while maintaining discretion and professionalism in managing confidential matters. The Corporate Event Specialist acts as an executive support pillar, representing the company by coordinating events, addressing inquiries, and scheduling meetings, while ensuring smooth logistics execution for corporate meetings and incentive trips. Attending sessions and fostering effective communication with stakeholders are also key aspects of the position.

In addition to event management, this role involves strategic and leadership assistance, supporting key leaders in decision-making processes and facilitating efficient communication across the organization. Serving as a liaison between departments, leadership, The Raymond Corporation, and Raymond Dealers, the specialist promotes collaboration and smooth information flow. The position requires strong project and time management skills to balance conflicting priorities and deliver projects under pressure. The specialist will evaluate and improve operational processes, plan and execute various company events, and assist with associate recognition programs to promote a positive work culture.

Job Requirements

  • Proficiency in Microsoft Office Suite

  • Willingness to travel up to 25% primarily within the southeast region

Job Qualifications

  • A college degree or equivalent experience is preferred
  • Minimum of 3 years of experience working in a professional office environment
  • Proficiency in Microsoft Office products including Excel, Word, PowerPoint, and Outlook
  • Excellent verbal, written, and listening communication skills
  • Strong organizational skills with the ability to manage priorities and meet deadlines
  • Ability to maintain confidentiality and professionalism

Job Duties

  • Represent by coordinating company events, addressing inquiries, and scheduling meetings
  • Attend sessions and ensure smooth communication with all stakeholders
  • Coordinate travel arrangements, develop itineraries and agendas, book transportation, and arrange accommodations
  • Manage conflicting priorities by addressing urgent matters proactively and ensuring timely completion of projects under pressure
  • Handle credit card processing and reconciliation tasks efficiently
  • Assist key leaders in formulating strategy, making consistent decisions, and facilitating communication across the organization
  • Act as a liaison between multiple departments, key leaders, The Raymond Corporation, and Raymond Dealers
  • Plan and execute events from start to finish, including banquets, team meetings, and holiday gatherings
  • Assist with Associate recognition initiatives to promote a positive work culture
  • Stay updated on industry trends and best practices by participating in educational opportunities
  • Enhance the company’s reputation by taking ownership of new challenges and supporting overall goals
  • Perform any other duties as assigned or required to support company operations and objectives
