The Coordinator for Special Events at Texas Woman’s University plays a pivotal role in managing and coordinating a wide array of summer camps, conferences, and other external events hosted on campus, as well as internal events requiring logistical support such as catering, tables, chairs, and facility reservations. Operating under the general supervision of the Associate Director of Operations of Conference Services, this position demands a high level of organizational skill, attention to detail, and the ability to multitask in a dynamic environment. The Coordinator is responsible for the end-to-end scheduling and coordination of summer camp and conference groups, which includes handling housing accommodations, meal arrangements, venues, and contract facilitation. Additionally, the role entails oversight of facilities like the Gertrude Gibson House, and support for select external events in key campus venues such as Margo Jones and Pioneer Hall.

Marketing the university as an attractive host site for these camps and conferences is a critical component of the role, requiring effective communication and relationship-building skills. The Coordinator also assists with contract processing, event logistics, billing services, invoice preparation, and works closely with risk management to inform groups about campus policies concerning minors, insurance, and other safety regulations. Flexibility is key, as the position involves managing peak workloads during summer months, responding promptly to emergencies, and working with a diverse student and staff population. The Coordinator may supervise student assistants and is expected to maintain professionalism, provide direct training as needed, and represent the university in a courteous and friendly manner. This full-time administrative position requires a Bachelor’s degree, with a Master’s degree preferred, and a minimum of two years experience in an administrative role with emphasis on event management, scheduling, or programming, ideally in a university setting or similar environment. Job Qualifications

  • Bachelor’s degree required

  • Two years in an administrative position preferably in a Student Union or Conference Services with emphasis in event management, scheduling or programming
  • Ability to plan, direct, and evaluate complex operations
  • Strong interpersonal skills to establish effective work relationships
  • Experience in budgetary and fiscal planning
  • Ability to handle multiple projects and peak workloads
  • Excellent communication skills, both oral and written
  • Proficiency in use of personal computers and university software
  • Ability to work flexible schedules and respond to emergencies
  • Experience working with diverse populations

Job Duties

  • Schedules and coordinates summer camp and conference groups including facility reservations and housing accommodations
  • Coordinates scheduling of the Gertrude Gibson House
  • Markets the university as a host site for summer camps and conferences
