Texas Woman's University (TWU) is the nation’s largest university system dedicated to the education and support of women, recognized as a federally designated Hispanic-Serving Institution. The role of Coordinator, Special Events at Texas Woman's University is a pivotal position within the Conference Services department. This full-time role reports to the Associate Director of Operations of Conference Services and may include supervising student assistants, contributing to a collaborative team environment focused on successful event execution. The Coordinator is primarily responsible for overseeing the planning, scheduling, and logistics of a broad range of events including summer camps, conferences, and internal campus events. These responsibilities extend to managing on-campus facility reservations, housing accommodations, meal arrangements, and contract facilitation for event groups. By acting as a central point of contact for event scheduling — including for notable campus venues like the Gertrude Gibson House, Margo Jones, and Pioneer Hall — this position plays a critical role in promoting TWU as a desirable host site.
Additional duties involve supporting external and university-affiliated events, assisting with contract processes, coordinating event logistics such as catering and room arrangements, and working closely with risk management to ensure compliance with campus policies. The Coordinator also manages billing and invoicing for summer camps and conference groups, integrates continuing education event management, and handles move requests and work orders associated with campus activities.
This position demands excellent organizational skills, the ability to manage multiple projects simultaneously with a high degree of attention to detail, and the capacity to work effectively with a diverse community of students, faculty, staff, and external stakeholders. The ideal candidate demonstrates strong communication and interpersonal skills, budgetary and fiscal acumen, and the flexibility to work irregular hours during peak periods. The role also requires the use of university-related software and office equipment, with an expectation of responsiveness during emergency situations.
