The Special Events Coordinator plays a vital role in the company's success by assisting in the creation, development, and implementation of special events within a designated region. This position demands a dynamic professional who can work seamlessly with local Sales and Marketing leaders as well as dedicated corporate teams to establish event schedules, meet tour targets, and deliver outstanding sales results. In this capacity, the coordinator is tasked with overseeing every facet of event management to ensure profitability on each tour. This includes site inspections, permit hearings, and meticulous planning meetings to guarantee flawless event execution. The coordinator develops strategic partnerships with national entities to cultivate a productive working environment that elevates event quality and customer satisfaction.
Communication is a cornerstone of the role, with ongoing collaboration required between site-level Project Directors, Marketing Directors, and Sales Managers to maintain an on-schedule event timeline and meet all predefined goals. The coordinator is responsible for crafting detailed, site-specific operational plans addressing critical logistics, including traffic management, parking, waste control, pedestrian flow, and emergency medical services.
Resource forecasting and staffing plans form part of the coordinator's duties to ensure efficient event delivery without resource shortages or excesses. Managing venue relations and expectations throughout the event production cycle is another key responsibility, ensuring all parties remain aligned and informed. Besides operational duties, the role involves budget management, schedule enforcement, and status monitoring to meet financial and timeline benchmarks.
Selecting appropriate venues and engaging caterers to provide quality services within budget constraints calls for negotiation skills and vendor management expertise. The coordinator secures all necessary permits, creates and enforces event itineraries, and manages procurement activities, including purchase orders and shipping logistics for event-related supplies. Staying current with event industry trends enhances the coordinator's ability to innovate and improve event experiences continually.

Job Requirements
- High school diploma or equivalent
- Previous experience in event coordination or related field
- Ability to obtain necessary permits and licenses
- Strong organizational and multitasking skills
- Excellent verbal and written communication abilities
- Proficiency with event management software and tools
- Valid driver’s license and reliable transportation
- Willingness to work flexible hours including evenings and weekends
- Ability to lift moderate weights and stand for extended periods
