Job Requirements
- Bachelor's degree required
- Proven ability to exercise discretion and independent judgement
- Strong communication and organizational skills
- Ability to work flexible hours including nights and weekends
- Experience managing or supervising student staff
- Experience in event coordination or management
- Ability to build and maintain relationships with diverse stakeholders
- Familiarity with event management systems and financial software such as Oracle
- Commitment to inclusivity and customer service excellence
- Two years of related experience preferred
Job Qualifications
- Bachelor's degree required
- Master's degree in Higher Education, Student Affairs, Hospitality Management, or related field preferred
- Proven customer service experience preferred
- Event management experience preferred
- Experience managing, supervising or training student staff preferred
- Experience advising student leaders or organizations preferred
- Ability to exercise discretion and independent judgment
- Two years of related experience preferred
- Ability to manage large-scale, multi-faceted, high-risk events preferred
- Strong relationship-building skills with diverse clients and vendors preferred
Job Duties
- Oversee and coordinate all aspects of events in Student Centers including logistics, audio/visual support, staffing needs, housekeeping, accessibility, plant operations, rentals, security, and invoicing
- Work directly with clients to plan and execute various events such as banquets, conferences, meetings, concerts, and shows
- Create quotes and invoices for events
- Use Event Management System (EMS) to track and manage event reservations
- Collaborate with departmental colleagues to prioritize facility improvements supporting successful events
- Proactively resolve problems, troubleshoot issues, and respond to inquiries to ensure event success
- Maintain flexibility to work nights and weekends based on event schedules
- Inspect and maintain Student Centers facilities daily including inventory, work orders, renovation assistance, and operational recommendations
- Provide excellent customer service and information to visitors, clients, and building associates
- Establish and maintain relationships with key campus vendors and partners such as catering, VUPD, and parking
- Assist student organizations in planning and facilitating events that comply with university policies
- Serve as an advisor to student organizations supporting goal setting and leadership development
- Support student advocacy, inclusivity, and diversity initiatives
- Communicate policy updates and procedural changes to student organizations
- Help student leaders with budgeting and financial management using Oracle
- Recruit, hire, train, schedule, and supervise student staff assisting in operations and event setup
- Train coordinators and support staff on policies and procedures to ensure successful teamwork
- Participate in divisional and university-wide committees, task forces, and events
- Maintain comprehensive knowledge of university policies including travel, procurement, and expense reporting to ensure compliance
