The role of Coordinator of University Events at High Point University is a vital position within the Office of University Events, responsible for planning, implementing, and directing various university functions and events. Reporting to the Vice President for University Events, the Coordinator supports the organization of major university occasions such as commencement ceremonies, convocation, family weekends, donor events, cultural programs, and other significant gatherings that are critical in fostering university traditions and enhancing community engagement. This position requires collaboration with multiple departments including the President’s Office, Institutional Advancement, and Student Life to ensure seamless execution of these events.
The Coordinator of University Events is tasked not only with the detailed administration of event logistics—including budgeting, invoicing, vendor contract execution, and supply ordering—but also with overseeing staff and student workers as well as external partners such as security, hospitality, and campus enhancement teams. A key aspect of the role involves creative event planning to maximize impact, coupled with continuous assessment and improvement of event effectiveness. The position demands the ability to multitask in a fast-paced environment, managing sudden changes and dynamic situations while maintaining professionalism and attention to detail.
Candidates for this role must have a bachelor’s degree and at least two years of related experience or an equivalent combination of education and experience. Job Duties
- Assist in planning implementing and directing university events including donor lunch and dinner events special events for the office of the President summer programs community and cultural events
- Plan implement and direct special university conferences symposia and other events initiated by other departments
- Work closely with staff of the President’s Office Institutional Advancement Student Life and other appropriate offices to plan coordinate and implement events
- Assist with planning and implementing major university events such as Commencement opening Convocation Family weekends dinners donor lunches cultural events special events for the office of the President groundbreakings dedications board of trustee meetings
- Develop creative ideas to maximize the effectiveness and impact of events consistent with overall university objectives
- Administer invoicing billing maintain budgets order supplies and execute vendor contracts
- Assess analyze monitor and evaluate university events to assure objectives are met and provide continual improvement
- Handle multiple projects simultaneously and manage changing dynamics with effective communication with high profile individuals
- Supervise Campus Enhancement team for event setups breakdowns and maintenance issues
- Supervise Hospitality Team for food requests and day of food service
- Supervise HPU Police Security and Transportation on directional support parking transportation requests and day of execution
- Supervise student workers and event volunteers including hiring disciplining scheduling training assigning work and ensuring completion
- Maintain positive work atmosphere by communicating effectively with students parents faculty coworkers and managers
- Maintain professional image by following dress code
- Perform other duties as assigned
