Job Description

The 12th Man Foundation is a prestigious organization dedicated to supporting championship athletics at Texas A&M University through funding scholarships, programs, and facilities. As a vital part of Texas A&M Athletics, the Foundation fosters a community of passionate supporters and donors who help propel the university’s athletic programs to new heights. The Coordinator of Stewardship is a pivotal role within the 12th Man Foundation, reporting directly to the Vice President of Operations. This position is essential for delivering superior experiences and managing benefits for donors who contribute to the Foundation's success. The Coordinator of Stewardship plays a critical role in designing and executing high-quality events that provide a premium experience for all 12th Man Foundation donors and distinguished guests. The scope of the role involves coordinating invitations and registrations, negotiating contracts with vendors, assisting in program development, and ensuring smooth day-of-event operations. The Coordinator acts as the main point of contact for various events and donor recognition programs, ensuring effective communication internally and externally with stakeholders.

Additionally, this role is responsible for managing the completion of benefits for multiple donor levels and programs, including the 1922 Fund, Champions Council, and Eppright benefits. Responsibilities extend to maintaining a calendar that aligns with key donor engagement milestones, managing scholarship application processes, and organizing recognition events such as the annual scholarship luncheon. The role requires someone who is collaborative, detail-oriented, and capable of handling multiple projects simultaneously. The Coordinator of Stewardship also supports administrative functions such as budgeting, process improvements, personalized donor acknowledgments, and maintaining the professionalism and confidentiality essential to the Foundation's core values of Respect, Accuracy, Service, and Excellence.

This is a dynamic, often fast-paced role that requires flexibility in working hours, including weekends, holidays, and evenings depending on event schedules. The Coordinator must have the ability to travel as needed to attend and oversee events, providing a premium experience for the Foundation’s donors. A strong foundation of customer service skills, effective communication, and project management abilities is necessary to excel in this position. The ideal candidate brings experience in administration, event coordination, or hospitality and demonstrates proficiency in Microsoft Office applications. Job Requirements

  • Bachelor’s degree and/or previous related experience
  • 1-2 years of experience in administration, event coordination or hospitality preferred
  • Proficient in Microsoft Office
  • Ability to commit to a structured weekly schedule and willingness to be flexible based on events requiring weekend, holiday, and evening hours
  • Ability to travel as needed to complete duties and responsibilities

Job Duties

  • Design and execute high-quality events ensuring a premium experience for all 12th Man Foundation donors and distinguished guests while managing all project delivery elements within time limits
  • Coordinate invitation and registration processes and negotiate contracts with vendors
  • Assist with development of event programming and prepare staff for day-of-event setup
  • Maintain effective internal and external communications with all event stakeholders and vendors
  • Collaborate with Marketing and Communications to develop event-related materials such as speeches, videos, invitations, programs, and name tags
  • Implement and communicate a calendar that aligns with key donor engagement and recognition milestones for the 1922 Fund program
  • Assist with execution of travel packages for Texas A&M football regular and post-season road games and other post-season athletic events
  • Serve as main point of contact for all Student Member Events
  • Manage the Noel Devin Memorial Scholarship application process and plan the annual scholarship luncheon
  • Fulfill benefits for 1922 Fund and assist with Champions Council and Eppright benefit fulfillment
  • Fulfill initial benefits for all annual giving programs including timely delivery of physical goods
  • Lead and implement all annual donor recognition initiatives and maintain accuracy in donor name representation on website listings
  • Assist in budgeting and tracking event expenses
  • Maintain personalized thank you notes acknowledging donor gifts and engagements
  • Provide exceptional customer service and foster relationships with donor groups
  • Participate in professional development activities and continuously improve administrative processes
  • Perform other duties as assigned
