The Coordinator position supports the planning, execution, and evaluation of fundraising events designed to engage donors and generate vital revenue in support of the Society’s programs and mission. This role involves close collaboration with internal teams and volunteers to ensure flawless logistics, deliver compelling experiences for participants, and foster strong community engagement. Beyond event management, the Coordinator also plays a central part in volunteer and vendor coordination, handling tasks such as recruitment, onboarding, scheduling, and communication to ensure volunteers are well-prepared and motivated. The role demands a high level of attention to detail, strong organizational skills, and excellent communication abilities.
Compensation for this role is estimated between $50,000 and $55,000 annually, with the final offer depending on the candidate’s geographic location, career experience, and other relevant factors. Job Requirements
- 1+ year of administrative, fundraising, or customer service experience in a nonprofit or development setting
- Strong organizational skills
- Proficiency in Microsoft Office Suite
- Excellent written and verbal communication skills
- Ability to handle confidential information with discretion
- Comfortable with event logistics and donor mailings
- Willingness to learn and take initiative
- Based in the Greater Philadelphia, PA area
- Ability to travel up to 50% of work time
- Availability for regular in-person attendance at meetings and events
Job Qualifications
- 1+ year of administrative, fundraising, or customer service experience preferably in a nonprofit or development setting
- Strong organizational skills with ability to manage calendars, track deadlines, and maintain accurate records
- Proficiency in Microsoft Office Suite including Word, Excel, and Outlook
- Experience with donor databases or CRM systems is a plus
- Excellent written and verbal communication skills with attention to detail in correspondence and data entry
- Ability to handle confidential information with discretion and professionalism
- Comfortable supporting event logistics, donor mailings, and general office tasks
- Team-oriented mindset with willingness to learn and take initiative in a fast-paced environment
Job Duties
- Support regional event planning, execution, and volunteer recruitment
- Provide onsite staffing support for market and regional events ensuring logistical elements are in place
- Develop event materials including donor briefings, run of shows, event layouts, and participant and volunteer lists
- Support volunteer recruitment, onboarding, and scheduling for events
- Serve as point of contact for volunteers providing clear communications
- Provide support for vendor coordination including event supplies management
- Track inventory and ensure timely delivery and setup of event materials
- Work cross-functionally with regional development coordinators to support regional event or cultivation initiatives
- Collaborate with development coordinators to promote sharing and adherence to SOPs
- Develop SOPs to support team workstreams and ensure consistent execution and donor experience
