Job Requirements
- Bachelor's degree required
- Experience with event fundraising highly preferred
- Knowledge of Salesforce and wealth screening tools preferred
- Excellent computer skills including MS Office suite with an emphasis on Excel
- Passion for MusiCares' mission and a desire for a career in service
- Ability to thrive in a collaborative and entrepreneurial business environment
- Strong interpersonal, oral, and written communication skills with high emotional intelligence
- Strong project management skills with attention to detail and ability to turn around tasks in a timely manner

Job Duties
- Assist the Director of Production with the planning, logistics, and execution of all events
- Support event production for a large-scale annual gala MusiCares Person of the Year (2400 guests)
- Assist with managing event timelines, vendor relationships, venue coordination for private fundraisers, and other events under supervision
- Assist with tracking event performance metrics and post-event evaluations
- Support onsite event operations (vendor point of contact, set-up, and tear-down) as needed
- Collaborate with internal teams to ensure event alignment with organizational goals
- Track inventory of printed materials, credentials, signage, and other event assets
- Assist the Director of Sponsorships with prospecting and preparing proposal materials
- Support scheduling and partner communications
- Maintain sponsor database and track sponsor engagement, benefits, and deliverables
- Assist in the development and customization of sponsorship reports and recaps
- Coordinate sponsor recognition efforts and approvals (e.g., signage, social media, website, and event programs) in partnership with Marketing, Health & Human Services, and the Director of Production
- Ensure timely invoicing, collections, and acknowledgment of sponsors
- Maintain accurate and up-to-date donor records in CRM/database (e.g., Salesforce)
- Assist in generating donor/sponsor correspondence, thank-you letters, and reports
- Maintain organized documentation and support budget tracking and invoice reconciliation
- Provide general administrative support to the Development team as needed
