The position of Convention Services Manager plays a pivotal role in upholding Sonesta's Culture of Caring. This leadership role focuses on creating exceptional experiences for both guests and team members, promoting success through team motivation and collaboration. The Convention Services Manager is responsible for coordinating a wide variety of events booked through the sales department, including meetings, conventions, and special events. By acting as the central liaison between the group contact planning the event and the hotel’s operational staff, the manager ensures smooth execution, attention to detail, and a memorable client experience.
Ideal candidates for this role bring a passion for guest service and team leadership. Proficiency with hospitality software like Delphi and Opera PMS, as well as Microsoft Office Suite, is considered a plus. The manager negotiates event components such as food and beverage pricing, function space, and services within approved guidelines, assists clients with menu planning and room arrangements, manages event inventories, and coordinates with multiple hotel departments to deliver seamless event experiences.
This role demands flexibility in working hours, including weekends, holidays, and varied shifts sometimes extending to ten or twelve hours. Physical demands also require the ability to occasionally lift up to 25 pounds and frequently stand, bend, climb, and move throughout the hotel. Additionally, the Convention Services Manager contributes to financial management by maintaining client files, reviewing account charges, assisting with budgeting, and completing reports for senior management. Job Requirements
- High school degree or equivalent
- 1-2 years sales or marketing related experience
- Knowledge of hotel sales and/or catering preferred
- Ability to work in a fast-paced environment
- Flexibility to work variable days including weekends and holidays
- Ability to work variable shifts including days, nights, and overnights
- Physical ability to lift up to 25 pounds occasionally and exert up to 50 pounds of force
- Frequent standing, bending, climbing, kneeling, and moving about the hotel
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Proficient with Microsoft Office Suite or related software
Job Qualifications
- High school degree or equivalent
- College coursework in related field preferred
- 1-2 years sales or marketing related experience
- Knowledge of hotel sales and/or catering preferred
- Excellent verbal and written communication skills
- Excellent interpersonal and customer service skills
- Excellent organizational skills and attention to detail
- Strong analytical and problem-solving skills
- Ability to prioritize and organize work assignments
- Extensive knowledge of hotel and hospitality industry

Job Duties
- Negotiate food and beverage prices, function space, and hotel services within approved departmental booking guidelines
- Assist the client in menu planning, food and beverage coordination, table arrangements, decorations, traffic flow, room set-up, group room blocks and VIP services
- Plan and attend Pre and Post convention meetings
- Manage function space and room block inventory as assigned and ensure that all BEO paperwork is completed in a timely and accurate manner
- Implement a daily, weekly, and monthly checklist for the catering department
- Build strong relationships with meeting planners and promote the hotel services and facilities
- Work with sales staff to service and solicit new business
- Work closely with other hotel departments to coordinate functions and events and ensure banquet/meeting room set up meets client needs
- Complete post-conference reports of events for senior management
- Attend weekly resume meetings
- Assist the Director of Sales & Marketing/Director of Convention Services with budget and forecast and complete special projects
- Maintain client files and update information daily according to departmental policies
- Review daily postings of charges to client master accounts and resolve discrepancies
- Review final bill prior to presenting to client
- Assist in preparation of departmental budget and implementation of catering and conference strategy
- Utilize and collaborate with resources across different departments and corporate office
- Lead by example and operate with integrity and respect
- Inspire coworkers to embrace and demonstrate Sonesta's core values and guest service standards
- Maintain high standards of personal appearance and grooming
