Job Requirements

  • Lift/carry and place objects weighing up to 20 pounds without assistance
  • sit and utilize computers/telephones for extended periods
  • flexible work hours including evenings, weekends and holidays
  • college degree
  • minimum of 3-5 years experience in convention services preferably as a manager in a luxury hotel property
  • excellent communication skills verbal, written and non-verbal
  • appropriate professional appearance and presentation
  • strong computer knowledge with ability to fully use Microsoft Word, Delphi, Excel, Outlook, Opera, Social Tables and other management systems

Job Qualifications

  • College degree
  • minimum of 3-5 years experience in convention services preferably as a manager in a luxury hotel property

  • strong computer knowledge with ability to use Microsoft Word, Delphi, Excel, Outlook, Opera, Social Tables and other management systems

Job Duties

  • Prepare resumes for groups 10 days prior to group arrival and review all details in weekly resume meeting
  • ensure banquet event orders are accurate and provide all relevant information to departments concerned 10 days prior to event start
  • coordinate all aspects of conferences including food and beverage requirements, timing of events, audio-visual requirements, special attention to guests, room type allocation, rooming list, amenities, function room set up, group offsite agenda, check in and check out types, special meal requests, arrival/departure manifests, bag pulls, luggage storage, complimentary rooms, billing instructions, authorized signatures, room deliveries, box storage and delivery, key requirements, expected food and beverage outlet usage, and group hospitality/office/registration desk needs
  • follow specific standard operation procedures for all staff to handle event planning process promptly and thoroughly
  • ensure all assigned site inspections and client visits to the hotel are successful by planning carefully and communicating accurate details in advance to departments
  • proactively achieve high Medallia scores by establishing good rapport with clients and being visible during conferences
  • generate high revenue yielding business for contracted rooms, function space, and catered events
  • conduct pre- and post-conference meetings as agreed with clients
  • ensure all current and future client accounts are serviced and responded to in accordance with hotel standards
  • communicate with banquet manager for related banquet functions and relay client requests to relevant departments during pre-planning
  • remain available to hotel managers while on property
  • be aware of departmental revenue and upsell at every possible opportunity
  • participate in all regular and operational meetings as required
  • help maintain and grow the hotel’s marketplace position at the city’s most elite venue within social and corporate communities
