The Conferences & Events Coordinator role at CCCU is designed for a detail-oriented, organized, and energetic individual who thrives in a fast-paced environment. This position requires excellent interpersonal communication skills, the ability to effectively prioritize competing tasks, and a proactive, can-do attitude. The ideal candidate should be both strategic and innovative, demonstrating flexibility and adaptability as event requirements evolve. Situated primarily in our Washington, DC office, this role may also offer a hybrid work model, providing a blend of remote and in-office work.
In this role, you will assist the Senior Director of Conferences & Events with planning a diverse portfolio of conferences and events. Coordination spans virtual, hybrid, and in-person meetings and includes managing logistical details such as hotel rooming lists, meeting room layouts, food and beverage arrangements, and audiovisual needs. You will play an integral part in building event webpages and apps using the Cvent system, ensuring accuracy throughout the event planning lifecycle. Communication is a key responsibility as you will liaise with speakers, attendees, and sponsors, maintaining clear and timely correspondence.
Further responsibilities include providing comprehensive registration support, tracking speaker and attendee status, addressing technical registration issues, processing payments, and issuing refunds. You will also review meeting materials like agendas and attendee lists for quality and professional presentation. Another important function is designing and ordering CCCU event swag, contributing to the overall event experience. Strategic planning and future event direction development are part of the role, alongside analyzing post-conference survey data and generating detailed reports.
Managing administrative tasks for the volunteer Commissioner program, supporting nomination and selection processes, and coordinating communications with Commission liaisons are additional facets of this multifaceted position. As a primary backup to the Senior Director of Conferences & Events, you must be ready to take on lead responsibilities when necessary. This diverse role offers plenty of opportunities for professional growth by engaging with comprehensive aspects of event management and organizational coordination.

Job Requirements
- A college degree or equivalent combination of education and experience
- Meeting and event planning experience
- Proficiency in Microsoft Office including Outlook, Word, Excel, and PowerPoint
- Flexibility to work extended hours including evenings and weekends
- Ability to travel as necessary to CCCU conferences and events
- Ability to lift up to 50 pounds
- Experience with iMIS database, Cvent, or WordPress is a bonus
Job Qualifications
- A college degree or equivalent combination of education and experience
- Experience in meeting and event planning
- Proficiency in Microsoft Office including Outlook, Word, Excel, and PowerPoint
- Knowledge of iMIS database, Cvent, or WordPress is a plus
- Strong organizational and communication skills
- Ability to manage multiple priorities and meet deadlines
- Strategic thinking and innovation in event planning
- Ability to work both independently and as part of a team
- Flexibility and adaptability to changing event requirements
Job Duties
- Assist Senior Director of Conferences & Events with planning conferences and events
- Coordinate logistical aspects of virtual, hybrid, and in-person meetings and events including hotel rooming lists, meeting room layouts, food and beverage, and audiovisual requirements
- Build event webpages and event apps within the Cvent system and ensure accuracy of all event details
- Ensure speaker and sponsor tasks such as headshots, logos, bios, and descriptions are complete and up to date
- Communicate with speakers, attendees, and sponsors effectively and timely throughout the planning process
- Provide registration support by tracking speaker and attendee status, solving login and registration issues, issuing refunds, processing payments, and sending confirmation receipts
- Review all meeting materials such as agendas and attendee lists to ensure quality control and professional standards
- Design and order CCCU swag items including lanyards, tablecloths, sponsor ribbons, and name badges
- Engage in strategic planning for the direction of future events
- Develop and analyze post-conference survey data and create written reports
- Create weekly conference revenue, registration, and roster reports via the CCCU database for the President’s Office
- Update annual event reports to preserve historical event data
- Support the Chief of Staff with the volunteer Commissioner program and administrative tasks
- Serve as primary backup contact for conferences and events in the absence of Senior Director
- Perform other related duties as assigned
