Job Requirements
- An associate's degree or equivalent from two-year college or technical school
- Two years related experience and/or training
- Or equivalent combination of education and experience
- Previous luxury hotel or related experience strongly preferred
- Previous hotel and catering experience preferred
- Availability to work full-time morning shifts Monday to Sunday with flexibility for overtime and weekends
- Ability to manage multiple tasks efficiently
- Ability to communicate effectively both orally and in writing
- Strong organizational skills
- Ability to lift and/or move up to 25 pounds frequently and up to 10 pounds occasionally
- Ability to perform tasks requiring close vision and manual dexterity
- Willingness to maintain professional conduct and punctuality
Job Qualifications
- Proven experience in catering sales or related sales roles
- Strong sales and negotiation skills
- Excellent communication and interpersonal abilities
- Knowledge of catering industry trends, pricing, and customer preferences
- Ability to work independently and collaboratively in a fast-paced environment
- Results-driven with a track record of meeting or exceeding sales targets
- Guest-focused with an emphasis on customer service
- Attention to detail
- Ability to multi-task
- Typing proficiency of at least 40 WPM
- Proficiency in Microsoft Office Word Processing and Excel Spreadsheet software
- Knowledge of HTML internet software
- Experience with Opera Cloud PMS and Amadeus
- Ability to read and comprehend written instructions, correspondence, and memos
- Effective presentation skills in one-on-one and small group settings
- Competence in math including rate, ratio, and percent computations
Job Duties
- Manage leads and send proposals for RFPs for meeting groups of less than 10 rooms
- Review booking information including contracts, room blocks, cut-off dates, special concessions, and attrition
- Prepare and execute turnover letters facilitating sales to conference services transition
- Establish and follow-up on action dates for bookings
- Participate in site visits and planning meetings
- Reconfirm and enforce contract deadlines to maximize meeting space and revenue
- Respond promptly to customer correspondence and communications
- Ensure reservations for suite blocks and special concessions are correctly input into Opera
- Request and audit group registration lists with reservations
- Finalize meeting and event requirements focusing on space utilization and upselling
- Coordinate customer needs with internal and external suppliers such as entertainment and audiovisual services
- Identify VIP guests and ensure appropriate arrangements
- Prepare proforma invoices
- Collaborate with accounting on credit arrangements and payment follow-ups
- Produce and distribute detailed group resumes and Banquet Event Orders
- Prepare event diagrams and input client guarantees in Salesforce
- Participate in menu and sales meetings
- Monitor event execution on-site
- Provide accurate food and beverage revenue forecasts
- Maintain communication logs in Salesforce
- Adhere to all relevant laws and regulations relating to meetings and events
