The opportunity at Four Seasons Hotel Silicon Valley is for the role of Conference Services Manager. This position is essential for orchestrating seamless events and conferences by working closely with planners, internal departments, and clients to manage every detail effectively. Reporting directly to the Director of Catering & Conference Services, the Conference Services Manager will coordinate meeting room arrangements, prepare and communicate detailed event resumes, and ensure adherence to department protocols. This role requires a dynamic individual who can manage the complexities of high-profile social and corporate events, maintain strong relationships within the community, and uphold the hotel’s prestigious market position.
The Conference Services Manager plays a critical role in delivering outstanding client experiences. Responsibilities include overseeing site inspections, client visits, and detailed event planning logistics such as food and beverage coordination, audio-visual requirements, room setup, transportation, billing, and accommodations. A keen eye for detail and exceptional communication skills are vital to proactively manage client expectations and deliver consistently high satisfaction scores. Job Requirements
- Education level equivalent to high school diploma or higher
- Prior experience in hospitality or conference services
- Ability to work flexible schedules including weekends and holidays
- Strong verbal and written communication skills
- Proficiency in Microsoft Office and event management software
- Ability to coordinate multiple tasks and work under pressure
- Commitment to delivering exceptional customer service
Job Qualifications
- Flexible work hours including weekends and holidays
- Excellent communication skills verbal, written and non-verbal
- Previous experience in catering sales or conference services in a luxury environment preferred
- Strong computer knowledge with ability to use Microsoft Word, Delphi, Excel, Outlook, and management systems
Job Duties
- Discuss meeting room arrangements with planner and communicate information through hotel department heads via a conference meeting resume
- Prepare resumes for groups and review all details in weekly staff meeting
- Adhere to the Catering and Conference Services Department's standard operating procedures
- Help establish and maintain hotel's marketplace position within social and corporate communities
- Follow standard operation procedures to handle all event planning steps adhering to hotel protocol
- Ensure successful site inspections and client visits by careful planning and accurate communication
- Achieve high client satisfaction through preparation and being visible during conferences
- Service current and future client accounts according to hotel standards
- Communicate with Food and Beverage Managers for banquet functions and relay client requests
- Ensure banquet event orders are accurate and timely communicated to relevant departments
- Participate in all regular and operational meetings
- Coordinate all aspects of conferences including food and beverage, timing, audio-visual needs, guest attention, room allocations, transportation, billing, entertainment, and décor
