The role of Conference Services Manager at Four Seasons Resort and Residences Jackson Hole is a key position within the events department. Reporting directly to the Director of Events, the Conference Services Manager coordinates all aspects of group events that are booked through the Sales Department. This role serves as the primary liaison between clients and the hotel departments, ensuring smooth communication and flawless event execution from initial planning through to completion.

The Conference Services Manager guides meeting planners thoroughly through the planning process, ensuring adherence to sales agreements and consistently delivering a level of service that exceeds client expectations. The primary aim is to create seamless, memorable group experiences that foster high client satisfaction and operational excellence. Responsibilities include overseeing the client experience from file turnover to post-event follow-up, managing group room blocks and meeting space allocations to optimize revenue, and leading pre- and post-event meetings to ensure cross-departmental alignment and feedback incorporation.

Collaboration with Sales and Catering teams is crucial for efficient function space management and overall event strategy. The manager finalizes detailed booking requirements including menus, room setups, and audiovisual needs, works to maximize revenue potential through strategic upselling and value-added recommendations, and ensures all event details are documented accurately through Banquet Event Orders, resumes, and daily reports.

The Conference Services Manager also oversees banquet checks, conducts post-event billing reviews, and reviews all function spaces with the banquet manager while maintaining compliance with Four Seasons' high standards. They act as the key point of contact for client issues during events, resolving challenges promptly and keeping the Director of Events informed of potential concerns. The role requires active participation in sales, operations, and banquet event order meetings, maintaining professionalism and upholding the Four Seasons' standards of conduct and work rules.

Job Requirements

  • High school diploma or equivalent
  • Minimum 2 years experience in conference services or event coordination
  • Excellent organizational and communication skills
  • Ability to work in a fast-paced client-driven environment
  • Strong problem-solving abilities
  • Proficiency in English
  • Ability to stand and walk for extended periods
  • Physical ability to lift and move up to 50lbs

Job Qualifications

  • 2-3 years conference services experience in a luxury environment preferred
  • Bachelors degree in Sales and Marketing, Hospitality, Business or similar discipline preferred
  • Experience with Golden Sales and Catering preferred
  • Proficiency in Microsoft Office
  • Ability to communicate proficiently in English
  • Strong experience in event management preferably in a luxury hotel environment
  • High level of creativity and multitasking skills
  • Ability to stand and walk for long periods
  • Ability to lift up to 50lbs

Job Duties

  • Coordinate all aspects of group events booked by the Sales Department
  • Serve as primary liaison between clients and hotel departments ensuring smooth communication
  • Guide meeting planners through the planning process and uphold sales agreements
  • Oversee client experience from file turnover to post-event follow-up
  • Manage group room blocks and meeting space allocations to optimize revenue
  • Lead pre-event and post-event meetings to ensure alignment and gather feedback
  • Collaborate with Sales and Catering teams to align event strategies and function space usage
  • Finalize event details including menu selections, room setups, and AV requirements
  • Maximize revenue potential through upselling and value-added recommendations
  • Ensure accuracy of banquet checks and conduct post-event billing reviews
  • Resolve issues promptly during on-site events
  • Maintain professionalism and Four Seasons standards
  • Participate in Sales, Operations, and BEO meetings
  • Perform additional tasks assigned by the Director of Events
