Job Requirements

  • high school diploma or GED
  • minimum three years experience in hotel conference planning, sales, or banquet management
  • ability to work collaboratively with multiple departments
  • strong organizational skills
  • detail-oriented with strong communication skills
  • familiarity with banquet event orders and audiovisual equipment
  • ability to project and forecast revenues
  • capability to manage client payments and billing processes
  • flexibility to attend on-site events and meetings
  • preferred bachelor’s degree
  • prior experience in conference center hotel environment

Job Qualifications

  • ability to coordinate complex conference details
  • strong communication and interpersonal skills
  • proficiency in preparing banquet event orders and managing audiovisual needs
  • experience with financial projections and revenue forecasting
  • ability to conduct client negotiations and build relationships
  • knowledge of hotel policies and procedures
  • attention to detail in managing rooming lists and catering projections
  • preferred bachelor’s degree
  • experience in conference center hotel

Job Duties

  • coordinate final details for conferences and pre-conference meetings with conference meeting planners
  • prepare banquet event orders including audiovisual needs
  • prepare and distribute group resume and cover sheets to all departments
  • ensure rooming list accuracy and block suites as per group contract
  • verify proper space assignment and catering projections
  • review group contract for room pick up and discuss attrition penalties with meeting planners
  • conduct hotel site inspections and suggest up-selling opportunities
  • collect payment three days prior to group arrival
  • project and forecast revenues for groups
  • entertain clients to establish better working relationships
  • recommend special outside services
  • conduct final tie-down meetings
  • consult with Chef and Banquet Manager on last-minute changes
  • introduce client to Banquet Manager at function start
  • assist Banquet Manager during dinner functions
  • ensure consistent product quality and profitability
  • review master bill daily with meeting planner and prepare necessary adjustment slips
  • audit groups Delphi check daily
  • review final bill and evaluation post-conference
  • attend forecast, sales, and BEO meetings
  • log all client communications in Delphi
  • comply with all department, hotel, and company policies and procedures
