This exciting role is for a Conferences Planner with Gartner who will be responsible for overseeing exhibit operations, service delivery, and sponsorship fulfillment for Gartner's destination conferences in the North American region. The position focuses on the development, management, and execution of various elements related to exhibits and sponsorships at B2B conferences, serving as the onsite lead for operational delivery and ensuring exceptional experiences for clients and exhibitors. It requires strong project management skills, financial acumen, and the ability to coordinate multiple teams and external partners seamlessly.

As a Conferences Planner, you will lead operational delivery for all exhibitor elements across multiple conferences, which includes project management, floor plan design and adjustments, budget forecasting, reconciliation, staff planning, and production scheduling. You will have direct responsibility for managing conference budgets related to exhibitor fulfillment, producing accurate monthly forecasts, and managing expenses effectively to maximize revenue and engagement opportunities at exhibits. Your role involves maintaining and improving exhibit inventories as they relate to show floors, speaking sessions, and other marketing opportunities. You will also maintain an online portal that houses critical logistical information for exhibitors to ensure a smooth, client-focused experience.

Your responsibilities include serving as the onsite lead at conferences to manage production schedules, vendor relationships, agency partners, and conference staff. You will collaborate closely with internal stakeholders and external partners to build trust and execute successful conference events. Data analysis will be pivotal to determine the best course of action for various conference components. Additionally, you will drive operational excellence by standardizing processes, implementing best practices, and bringing innovative strategies to conference planning and onsite operational execution.

Job Qualifications

  • Bachelor's degree preferred
  • 1-3+ years event management, experiential marketing, event marketing and/or tradeshow management
  • Proven event operational skills including production schedules, budget management and event staffing
  • Project management experience on detailed programs with multiple variables and dependencies
  • Proven experience in managing agency and vendor partners
  • Strong interpersonal and relationship building skills especially with senior level professionals, cross-functionally and with agency partners

Job Duties

  • Lead operational delivery of all exhibitor elements across multiple B2B conferences including project management, floor plan management, financial management (forecasting, budgeting and reconciliation), staff planning and production scheduling
  • Develop, maintain and improve exhibit floor plans to maximize revenue opportunities and engagement
  • Manage conference budgets with direct responsibility for all costs associated with exhibitor fulfillment and delivery
  • Produce accurate monthly forecasts and manage expenses effectively
  • Attend conferences as the onsite lead for exhibit delivery including managing the production schedule, agency partners, vendors and conference staff
  • Develop and maintain exhibit inventory as it relates to the show floor, speaking sessions and other marketing opportunities
  • Analyze data to determine best course of action on various conference elements
