The Conference Planner role at Civica is crucial to the successful execution of national, regional, and state association meetings, conferences, trade shows, and special events. This position requires specialized expertise in multi-track, multi-day conference planning, differentiating it from general event management roles such as galas or trade shows at venues. As a Conference Planner, you will be responsible for managing and collaborating with association committee members and volunteers, ensuring that all project deliverables are met within the defined scope. The role demands end-to-end project planning and management in partnership with the internal team, requiring a thorough understanding of clients’ business practices and ongoing needs.
Additionally, the Conference Planner is entrusted with sourcing, request for proposals (RFPs), and contract negotiations on behalf of assigned clients, demanding sharp negotiation skills and strategic thinking. The job also involves attending industry events and conferences to maintain industry insights and networking opportunities. With a strong emphasis on budget management, you will prepare budgets, monitor expenses, and develop post-conference reports to evaluate financial outcomes. The position demands excellent organizational skills, a keen attention to detail, and the capacity to juggle multiple clients simultaneously while delivering quality results. The role offers the advantage of remote work, giving the flexibility to manage work-life balance effectively, while requiring periodic travel for site visits, planning sessions, and onsite event management.

Job Requirements
- Bachelor's degree or equivalent combination of education and work experience
- Minimum 5 years of conference and event management experience
- Budget management capability
- Experience in sourcing including developing RFPs, negotiation, and contract execution
- Proficiency in MS Office including Teams
- Familiarity with registration, exhibitor, and speaker management software
- Experience in exhibitor and sponsor fulfilment
- Trade show management experience
- Ability to manage multiple clients
- Strong organizational and detail-oriented skills
- Excellent communication and interpersonal skills
- Availability to travel for site visits, planning, onsite management, networking, and professional development
- Ability to thrive in a fast-paced environment
Job Qualifications
- Bachelor's degree or a combination of education and related work experience
- Minimum 5 years of experience in conference and event management
- Budget management experience
- Sourcing experience including RFP builds, negotiating skills, and contracting
- Proficiency with MS Office including Teams
- Experience with software for registration, exhibitor management, and speaker management
- Experience with exhibitor and sponsor fulfillment
- Experience with trade show management
- Experience in multi-client setting preferred
- CMP preferred
- Experience managing staff preferred
Job Duties
- Manage national, regional, and state association meetings, conferences, trade shows, special events
- Collaborate with association committee members/volunteers to ensure deliverables per scope of project
