The California Center for the Arts, Escondido is a multifaceted cultural institution dedicated to enriching the community through arts, education, and events. The Conference Center Sales Coordinator position is a full-time role reporting to the Director of Sales, offering an hourly salary between $25 and $29, commensurate with experience and qualifications, and includes eligibility for bonuses. This role is integral to the successful planning, coordination, and execution of all facility rentals and events held at the Conference Center. The Sales Coordinator functions as the primary point of contact for rental inquiries, actively engaging in outside sales efforts to attract new business opportunities. Key responsibilities include managing and maintaining rental bookings through systems such as Caterease and Artifax, ensuring smooth communication among departments such as Banquets, Facilities, and Housekeeping, and overseeing detailed event planning aspects from initial client contact to final settlement.
This position demands a dynamic individual with a strong background in catering and conference center sales or public facility management. A profound understanding of culinary operations, banquet food production, and sales lead generation is essential. The ideal candidate is highly skilled in contract and proposal negotiations, sales office management systems, and possesses excellent communication abilities both written and verbal. Proficiency in Microsoft Office or Google Suites, alongside specialized software like Caterease and Artifax, is required to efficiently handle various administrative and operational tasks.
Beyond the administrative and sales functions, the Sales Coordinator also plays an active role in operational support by assisting with site tours, reviewing and updating standard operating procedures, managing project feedback, and acting as a liaison on event days to ensure outstanding customer service. This multifaceted role requires self-motivation, independent work capability, and exceptional time management skills.
The position also entails physical demands including the ability to lift or move up to 30 pounds occasionally, and requires specific vision abilities such as close and distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The working environment spans office and front desk settings, with variable noise levels, and exposure to indoor and outdoor event conditions.

Job Requirements
- Minimum four years of experience in catering and conference center sales or public facility management with strong background in culinary operations and banquet food production
- excellent communication skills both written and verbal
- ability to work and communicate with all inter-office departments and customers
- knowledge and proficiency in trade show and convention planning requirements
- skills in sales, event planning, and contract and proposal negotiations
- knowledge and proficiency in sales office management systems
- self-motivated and able to work independently with excellent time management
- general office and computer skills
- computer literate in Microsoft Office and/or Google Suites, Caterease, and Artifax
- commitment to providing exceptional customer service
Job Qualifications
- Minimum of bachelor’s degree and/or at least four years of relevant experience in hospitality and catering
- project management certification or equivalent experience
- excellent written and verbal communication skills
- knowledge of trade show and convention planning
- exceptional skills in sales, event planning, contract, and proposal negotiations
- proficiency in sales office management systems
- computer literate in Microsoft Office and/or Google Suites, Caterease, and Artifax
- demonstrated commitment to exceptional customer service
- experience in nonprofit environment is desired but not required
Job Duties
- Responds quickly and effectively to rental inquiries and leads
- works on outside sales to bring new business to the Center as time permits
- adds rental events to Caterease and Artifax
- utilizes approved sales tools for contract generation such as P&L workbooks and approved profit margin calculations
- utilizes approved venue rental rate sheets per market segment and preliminary event questionnaires
- cooperates with other sales managers to manage revenues, calendar holds, coordinate bookings, sales promotions, lead referrals, and special projects
- works on rental bookings from first inquiry to final settlement including email and phone communications, application issuance and review, contract issuance and review, and transposition of all completed paperwork
- communicates pertinent information to other service providers including Banquets Department, Facilities, and Housekeeping
- properly maintains Google Drive files and Caterease records for all rental clients
- manages Conference Center rental calendar including input of annual return clients and current leads with projected revenues and expenses
- assists with site tours and vetting Conference Center rental clients
- reviews and updates SOPs and policies presenting changes for approval
- manages project feedback and provides diplomatic solutions
- collects event information through questionnaires, drafts contracts, and facilitates handoff to Banquets team
- follows up on outstanding balances related to events
- acts as liaison between clients, staff, vendors, and guests on day/night of events
- provides outstanding customer service to rental clients and guests
- responds to special requests from guests and clients
- acts appropriately in event environments respecting all participants
