The role of Conference Services Manager at Delaware Technical Community College is a dynamic and integral position responsible for overseeing the daily operations of the campus conference center at the Wilmington Campus. The Conference Services Manager coordinates a broad spectrum of activities including event planning, facility scheduling, catering oversight, audiovisual service management, and customer support for both internal stakeholders and external clients. This position is essential for ensuring smooth event execution, maximizing facility readiness, and supporting revenue growth through strategic client engagement and business development initiatives. In this role, the Conference Services Manager reports to an administrative or professional supervisor and takes charge of planning, organizing, and coordinating facility management for thousands of annual events hosted at the campus conference center. Responsibilities extend to supervising part-time staff, ensuring the upkeep and cleanliness of all conference areas—including classrooms, restrooms, and kitchen facilities—during evenings and weekends, and overseeing the complete catering service delivery. The incumbent is also tasked with maintaining accurate furniture and equipment inventory, managing scheduling logistics, and responding promptly to all internal and external inquiries related to conference center services.

Additionally, this role plays a pivotal part in marketing Workforce Development and Community Education facility services by conducting tours, soliciting customer needs, and promoting the range of support services available, such as audiovisual and sanitation provisions. The manager monitors caterer performance to maintain compliance with public health standards and handles financial tasks including contract preparation, invoicing, accounts receivable tracking, and arranging special payment schedules. Committee participation and scheduling of campus sports facilities as assigned are also part of the responsibilities.

Job Duties

  • Oversees the daily and weekend operation of the campus conference centers including supervision of staff scheduling of room setups and takedowns catering audio visual requests and facilities sanitation public safety staffing as needed
  • Processes Facility Request and Confirmation forms
  • Maintains an accurate inventory of furniture equipment in each classroom and furniture available to be used in each conference area
  • Facilitates the cleanliness of all areas within the conference centers during the evening and on weekends including restrooms and kitchen areas
  • Ensures budgeted revenue and volume expectations are met by focusing on the retention of current customers and the recruitment of new customers
  • Assists in marketing Workforce Development and Community Education facilities by providing customers with tours of the facilities and promotion of services
  • Oversees the delivery and execution of catering services including ensuring that Public Health requirements are met
  • Trains evaluates and supervises part-time conference center staff as assigned
  • Prepares a variety of financial and other reports on-site contracts and invoices related to conference center services
  • Serves on committees as assigned by Supervisor
  • Schedules campus sports facilities as assigned
  • Performs other related duties as required
