The Concierge Associate role at Williams Lea by RRD is a pivotal client-centric lead position focused on enhancing the guest experience across all front-of-house touchpoints. This position holds ownership of the client space, ensuring that it remains welcoming, polished, and perfectly aligned with the company's high brand standards. The Concierge Associate acts as the central coordinator for meetings, events, hospitality services, and manages the daily workspace environment. This involves ensuring that shared and client-facing workspaces are clean, functional, and ready to accommodate in-person and remote employees with optimal productivity and comfort. The role involves liaising across various departments and vendors to ensure smooth execution of services, promoting operational excellence, and continuously seeking opportunities for service improvement.

The Concierge Associate is deeply involved in the planning and execution of meetings and events, including room setup, AV coordination, vended catering, and guest logistics. Using advanced scheduling platforms such as Book-It and Service Now, the role manages bookings and optimizes space usage to enhance operational efficiency. This position requires producing detailed daily, pre-event, and post-event reports to inform service teams and support operational planning and quality assurance efforts.

Beyond operational duties, this position fosters a culture of collaboration, training, and continuous improvement by mentoring front-of-house staff. The Concierge Associate ensures alignment and synergy among hospitality and reception teams to consistently reinforce service standards and maintain a unified, polished front-of-house presence.

Technological engagement is a critical element of the role, encouraging a tech-curious mindset to adopt new tools that improve service delivery and client engagement. The Associate manages digital room signage, leverages task management applications for service tracking, and prepares for integration with AI-powered booking and reporting tools to future-proof front-of-house operations.

This role commands a professional demeanor, excellent communication skills, and the ability to multitask and prioritize effectively. The working environment includes lifting up to 50 lbs regularly and occasionally handling AV equipment setup. The rate of pay for this position is $27 per hour, with potential additional compensation for overtime, shift differentials, and other pay elements. Job Requirements

  • Minimum 2 years of experience in receptionist, administrative, or front-of-house role

Job Qualifications

  • Minimum 2 years of experience in a receptionist, administrative, or front-of-house role, preferably in a corporate, legal, banking, or hospitality setting
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong interpersonal and communication skills (verbal and written)
  • Ability to manage multiple tasks and prioritize effectively

Job Duties

  • Own the presentation, functionality, and atmosphere of all client-facing spaces, ensuring they reflect the highest standards of professionalism and brand alignment
  • Champion the guest journey from arrival to departure, ensuring every interaction is warm, efficient, and tailored to individual needs
  • Act as the primary point of contact and escalation for all client-facing services, ensuring swift resolution and proactive communication
  • Greet guests upon arrival and escort guests to meeting rooms ensuring a seamless welcome experience
  • Support the planning and execution of meetings and events, including room setup, AV coordination, vended catering, and guest logistics
  • Coordinate vended hospitality services including food and beverage setups, third-party catering, and in-room amenities
  • Use scheduling platforms (Book-It and Service Now) to manage bookings and optimize space usage
