Job Description
This role is within the Concierge department of a residential community administration team, focused on enhancing resident services and ensuring efficient communication and information flow. The establishment is dedicated to providing a welcoming and secure environment for residents, visitors, and prospective families by attending to their needs promptly and professionally. This position is non-exempt and reports to either the Business Office Manager or the Director of Marketing. The company is committed to delivering exceptional service and maintaining the safety and satisfaction of its community members. As a concierge in this administrative capacity, the individual plays a vital role as the initial point of contact for all residents and visitors, addressing inquiries, managing communication channels, and supporting various clerical tasks that contribute to the smooth operation of the community.
The Concierge is responsible for greeting residents and visitors warmly and offering necessary assistance to prospective residents and their families. They maintain a secure environment by monitoring surveillance systems and responding to any suspicious or emergency situations. The role involves logging and reporting incidents and concerns, facilitating communication between departments by managing calls and messages, and ensuring important daily procedures such as check-ins and record-keeping are completed accurately. Clerical duties include maintaining visitor logs, reservation books, and managing communication regarding maintenance requests and key/gate pass distribution. Moreover, the Concierge sustains a pleasant and hospitable lobby atmosphere by arranging refreshments and decor, and coordinates mail services for the community. This role demands someone who is organized, approachable, and able to manage multiple tasks with professionalism and efficiency. The ideal candidate would bring office skills, computer proficiency, and a commitment to delivering excellent customer service. - One to three months related experience or training
- Experience in office skills

Job Duties
- Greet residents and provide general assistance to visitors, prospective residents and families
- Ensure safety of the residents and property by monitoring surveillance cameras, door alarms, life safety systems, building alarms and investigating any unusual activity
- Ensure that incident reports, concern reports and other appropriate communication have been completed
- Complete daily check-in procedure
- Maintain visitor sign in/out book, reservation book for guest rooms, logs and communicate maintenance request work orders
- Maintain current list of residents by name and room number, telephone numbers for all personnel, department extensions, names and contact information of key personnel
- Maintain log for the issuance of community keys and gate passes
- Maintain coffee and cookie service in the lobby, making cookies daily
- Maintain appearance of lobby and ensuring there are fresh flowers
- Coordinate outgoing and incoming mail to the community
- Perform other duties as assigned
