Job Requirements

- proficiency in Microsoft Office and community management software

- agreement to safety and driver policies if applicable
Job Qualifications
- High school degree or GED
- proven customer service experience and skills
- proficiency in computer skills including Microsoft Office (Windows, Outlook, Excel) and Sunrise applications
- ability to learn new applications

Job Duties
- Oversee the community entry area for visitors, guests, and residents and extend a warm welcome and greeting
- offer and provide beverages to visitors and guests and ensure community safety protocols are in place
- contact the Director of Sales, Executive Director, or Department Coordinator to meet with prospective residents, families, or visitors and ensure minimal wait times
- greet potential career candidates and direct them to apply online or enter candidate information into the Applicant Tracking System
- answer incoming telephone calls and resident calls promptly with appropriate community greeting and identification
- take and communicate complete and pertinent messages to intended recipients
- offer a community overview to callers and forward calls to appropriate contacts
- manage appointments for residents and family members such as hairdresser or transportation
- send get well cards to residents in hospital and sympathy cards to families
- order condolence Memory Flowers for residents who have passed away
- order flowers and name plates for new residents prior to move-in
- order guest meals for resident and family on move-in day
- create and maintain marketing and move-in packet inventory
- support Director of Sales with inquiry calls and lead tracking database entry
- perform administrative duties related to resident move-in process
- keep desk and entry area neat and organized
- check Bistro regularly for cleanliness and stock snacks and fresh coffee
- maintain music playing throughout the day
- ensure front desk coverage when away
- partner with community team to ensure compliance with health and safety regulations
- practice safety procedures including use of PPE, fire extinguishers, SDS, and Lockout Tagout
- maintain resident and team member rosters and schedules for emergencies
- champion Safe Leaving Program and respond to emergencies per policies
- monitor guest and resident sign-in and sign-out protocols
- maintain high-risk elopement list with photographs at front desk
- update resident phone lists and rosters daily
- manage meal tickets and tally meal count sheets
- process meal ticket money following internal controls
- organize and distribute mail and community newspapers
- maintain and post Daily Menu
- assist with recruitment data entry and general administrative tasks
- monitor and order office supplies
- track and disperse team member paychecks
- actively participate in team engagement and training
- attend meetings and maintain compliance with required training
- perform other duties as assigned
