The Inn at Garden Plaza is an independent senior living community dedicated to providing a warm, welcoming, and supportive environment for seniors who value their independence while enjoying quality assistance when needed. We are currently seeking a Concierge (Front Desk) associate on an "AS NEEDED" basis to join our dedicated team at The Inn at Garden Plaza. This role is perfectly suited for individuals who have flexible schedules—whether semi-retired, pursuing online studies, or simply interested in supplementary income. With shifts available from 7 am to 2 pm and 2 pm to 9 pm seven days a week, the position offers a diverse range of possible working hours with the benefit of double pay during holidays. The Concierge is the first point of contact for residents, their families, and visitors, providing exceptional customer service in a high-paced environment.
The role demands multitasking capabilities and a team-based mindset, functioning efficiently under frequent interruptions while maintaining a cheerful and positive demeanor. This position reports directly to the Business Office Manager and plays a pivotal role in creating an atmosphere of warmth, hospitality, and professionalism in the community’s front lobby area. Primary duties span greeting guests, managing lobby security by screening visitors, maintaining the presentation and cleanliness of the front area, and clerical support such as mail distribution, data entry, and maintaining key resident and community logs. Additional responsibilities include coordinating with the sales team for inquiries, supporting Electronic Health Record systems, and assisting residents with housekeeping and guest room reservations.
Successful candidates must have prior experience in administrative or front desk roles, competence in Microsoft Office applications, and proficiency with office equipment like fax and copiers. Experience with seniors is considered a plus, as the core of this position revolves around serving senior residents with genuine care and respect. A high school diploma or equivalent is required. Dependability, trustworthiness, effective communication skills, and the ability to meet deadlines while handling multiple responsibilities are vital attributes for this role.

Job Requirements
- Must have high school diploma or equivalent
- must be proficient with Microsoft Office including Word and Excel

Job Duties
- Demonstrates excellent customer service, including telephone etiquette skills
- serves as community's first greeter to all guests, visitors, residents and families entering front lobby
- creates and maintains a positive atmosphere of warmth and hospitality
- interacts with all individuals professionally and courteously
- directs concerns from individuals to appropriate manager
- screens visitors entering the community
- assists with keeping front lobby and workrooms neat, clean and presentable
- closely observes lobby activity and reports unauthorized visitors or concerns
- keeps front lobby entrance flowing and welcoming
- keeps bell cart clean and polishes weekly
- provides accurate, reliable clerical support such as typing, filing, photocopies, fax, data entry
- receives, sorts and distributes mail
- delivers packages following community policy
- makes accurate, timely entries into Events Log
- maintains lists such as resident directory, door check sheets, associate phone list, call in sheets
- enters resident maintenance requests in TELs system
- maintains guest room reservations, charges and payments accurately while keeping Housekeeping informed
- oversees resident check-in system including educating new residents and maintaining weekly list for security
- regularly utilizes Front Desk Inquiry Connection Sheets for incoming inquiry calls for prospective residents
- communicates with sales team to ensure timely handling of inquiry calls
- assists with Electronic Health Record system as requested
