Job Description

The hiring establishment is a well-respected senior living community dedicated to providing an exceptional quality of life for its residents. This position is for a Concierge, a pivotal role within the community, designed to serve as the welcoming point for residents and visitors. The Concierge is responsible for providing exceptional customer service at all times, whether the interaction is in-person or via telephone. Every resident is known and greeted by name, ensuring personalized and friendly service that meets or exceeds the established Concierge Service Standards of Excellence. The role demands a person with warm interpersonal skills and a genuine compassion for older adults, who understands the importance of responding promptly to requests and assisting with a wide variety of needs such as transportation reservations, activity sign-ups, and general inquiries about the property.

The Concierge will also handle administrative and clerical duties including managing incoming mail and packages, operating the mail meter, facilitating office functions such as copying, faxing, and mailing, and keeping the reception area orderly and well-stocked. This role requires someone who can multitask efficiently while maintaining professionalism and calm in emergencies, including responding immediately to emergency alert calls and coordinating with appropriate emergency personnel. Teamwork and cooperation with other departments are essential, as is supporting marketing efforts through positive engagement with potential residents during property tours or over the phone.

With a minimum of two years of related experience, preferably in a hospitality setting, this job requires proficiency with office equipment and software, strong communication skills, and the ability to understand and process information clearly for effective feedback. The individual must be physically mobile to meet the job demands and pass a criminal background check to ensure the safety and security standards of the property. Job Requirements

  • High school education required
  • Minimum of two years of experience in a related position preferably in hospitality
  • Ability to add, subtract and multiply
  • Excellent communication skills including active listening
  • Ability to speak, write and read English
  • Proficiency in basic office equipment including personal computer
  • Proficient in Office software
  • Physical mobility to perform duties
  • Pass a criminal record clearance

Job Qualifications

  • High school diploma or equivalent
  • Two years of experience in a customer service or hospitality role

Job Duties

  • Provide all residents, guests and visitors exceptional customer service during every interaction
  • Learn and know all residents by name
  • Greet all residents and visitors
  • Provide information to those seeking information about the property
  • Be responsive to the needs of people who inquire about the property and/or who are in the building for meetings with administrative personnel
  • Direct visitors to appropriate office or resident apartment
  • Assist residents, family members, and guests with general requests
  • Answer telephones, record and channel information, direct calls to appropriate individual or department, relay messages in a timely, clear, polite concise and professional manner
  • Display knowledge of the services and programs and other pertinent information regarding the property
  • Manage mail meter, stamps, make copies, and perform other office-related tasks
  • Record receipt of packages and contact residents for pick up
  • Handle business center requests such as photocopying, faxing, shipping of mail
  • Process incoming mail and distribute to appropriate mailboxes
  • Complete all opening and closing duties
  • Accurately take reservations for dining rooms, activities, personal and complimentary transportation
  • Receive and record maintenance work order requests and deliver timely to maintenance
  • Monitor Emergency Alert System and respond immediately
  • Maintain Resident Notice Binder
  • Arrange wake-up calls, dry cleaning, pet care, housekeeping, errands and car care as requested
  • Fulfill personal concierge requests such as restaurant reservations, tee times, map directions, internet research
  • Maintain neat reception area with current literature
  • Ensure lobby is free of outdated literature and refreshments are available
  • Ensure all posted signage is accurate and clean
  • Perform clerical duties as directed
  • Respond to residents’ concerns including emergency calls and grievances
  • Support community marketing through positive interaction on property tours and phone contacts
  • Communicate resident condition changes immediately
  • Maintain a safe and secure environment
  • Encourage teamwork
  • Support positive, professional image through actions and dress
  • Perform other duties as assigned
