The Coordinator of College Events is a key member of the Conferences and Reservations Services (CARS) team within the Student Centers department, situated under the Division of Student Affairs. This full-time position offers an hourly salary range of $16.63 to $18.73, reflecting its critical function in supporting campus operations. In this role, the Coordinator of College Events takes on the responsibility of planning, coordinating, and executing a wide array of campus events. These events cater to the diverse needs of students, faculty, staff, and external clients, including conferences, meetings, special events, and other activities designed to foster student involvement and engagement.

The person in this role is expected to manage the day-to-day operations of the department while ensuring that all events proceed seamlessly from start to finish. This involves collaborating closely with multiple stakeholders within the college and across the university, including event organizers, vendors, facilities personnel, and technical teams responsible for audio-visual setup. The Coordinator will serve as the primary point of contact for event-related communications, ensuring clear and timely dissemination of information regarding event logistics, registrations, and updates.

Additionally, the Coordinator prepares and processes financial documents related to event operations, monitors budget activities for cost centers, and may assist in the preparation of contracts and procurement instruments needed for services. A keen attention to detail and strong organizational skills are critical, as the Coordinator handles multiple simultaneous priorities in a fast-paced environment. Job Requirements

  • Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline
  • or the basic knowledge of more than one professional discipline
  • obtained through a formal 4 year degree or equivalent in-depth specialized training program
  • requires a minimum of one year of directly job-related experience
  • department willing to accept education in lieu of experience
  • department willing to accept experience in lieu of education
  • position is security sensitive and requires a criminal history check

Job Duties

  • Coordinate and manage special events and activities within the designated college
  • ensure execution of events
  • coordinate the day-to-day operations of the department
  • participate in development of special events and activities and serve as the primary contact for event information and requests
  • coordinate and supervise event set-up including conferences, meetings, special events, vendor coordination, room reservation, and audio-visual equipment
  • prepare and process financial documents and monitor cost center activities
  • compose event communications for the college, monitor and coordinate event registration, and provide status updates on upcoming events
  • monitor and maintain events calendar
  • assist in preparation of contracts and procurement instruments as needed
  • perform other job-related duties as assigned
