The Raj Soin College of Business at Wright State University is seeking a College Communication & Events Coordinator I to join their administrative team. This is a full-time position with an hourly salary starting at $19.82, classified under the UC HR4 salary band. The role is designed to support the college's mission and strategic goals by facilitating the planning, organization, and execution of a wide variety of high-impact recruitment and retention events. These events are tailored to engage multiple stakeholders, including students, faculty, staff, alumni, corporate partners, and donors.
The College Communication & Events Coordinator I holds a pivotal role in event management, requiring coordination with college leadership to define event objectives, target audiences, and expected outcomes. The specialist takes responsibility for budgeting and timeline development, logistics coordination, communications and promotional activities, as well as vendor and stakeholder management. This position ensures that all events run smoothly, efficiently, and in alignment with the college's strategic priorities.
In addition to event planning and coordination, the role involves substantial communication and collaboration duties. The coordinator serves as the primary contact point linking internal teams, clients, and stakeholders, fostering strong working relationships and clear communication channels. They are tasked with producing detailed and accurate event documentation, creating engaging digital content for various platforms, and partnering with the university's Marketing and Communications Department to design promotional materials that drive event participation and enhance the college's brand presence.
Other integral responsibilities include providing backup support for academic advising, managing front desk operations, and overseeing student worker recruitment and training. The position demands excellent organizational skills, exceptional interpersonal and written communication abilities, and strong time management capabilities. The coordinator must be capable of balancing multiple overlapping tasks, acting independently, and prioritizing duties to meet deadlines.
Working conditions are primarily office-based but may require some weekend and evening work, including being on call during specific university events such as the Ohio Business Weekly Camp. The position adheres to university policies that include mandatory background checks and compliance with a tobacco-free campus environment. Job Duties
- Oversee all logistical aspects of on- and off-campus events including scheduling, venue selection, vendor negotiations, transportation, accommodations, catering, audiovisual setup, and university policy compliance
- Develop cost estimates, track expenses, process invoices, and manage contracts to ensure events are delivered within budget
- Create and manage detailed event timelines and distribute schedules, invitations, menus, and key information to participants and stakeholders
- Identify potential safety, logistical, or compliance risks during event planning and respond to unexpected challenges to maintain smooth execution
- Promote events through multiple channels including social media and newsletters, manage promotional inventory and giveaways, coordinate high school career fair participation, and analyze event outcomes for improvement
- Act as primary liaison among internal teams, clients, and external stakeholders ensuring timely and accurate communication and collaboration
- Prepare, proofread, and format event-related documentation and communications ensuring accuracy and compliance with branding and style standards
- Create engaging content for social media, college website, newsletters, and digital outlets to promote college programs and initiatives
- Research, write, and edit compelling content for alumni and student newsletters highlighting key events and fundraising efforts
- Partner with Marketing and Communications Department to design event collateral and promotional campaigns
- Serve as backup to advising team by monitoring and responding to emails, addressing student inquiries, and managing appointment scheduling
- Prepare and distribute academic fact sheets to assist students with degree requirements and course selection
- Manage front desk operations including recruitment, hiring, training, supervision, and scheduling of student workers
