The Clinical Receptionist role at Yale Health is a pivotal position within the Clinical Reception Team, which is tasked with delivering seamless, coordinated, and compassionate patient care from the moment patients interact with the medical facility. This full-time position primarily supports the Acute Care department while also providing essential coverage in other clinical areas, adapting to the operational needs of the health center. The role requires excellent interpersonal and communication skills to effectively manage patient inquiries, reception desk duties, and schedule appointments within the Epic clinical scheduling system. Responsibilities extend to answering telephone calls, greeting patients and visitors, ensuring accurate scheduling of appointments, managing complex patient scheduling needs, and supporting reception tasks through electronic health platforms such as MyChart. The Clinical Receptionist is also involved in data gathering, reporting, and collaborating with clinical leadership to optimize workflow and patient service experiences.
This position operates on a full-time schedule, typically from 8:00 am to 4:00 pm, five days a week with rotation over seven days including occasional early mornings, evenings, weekends, and holiday shifts depending on departmental requirements. Candidates must demonstrate exemplary attendance, punctuality, and reliability as well as the ability to work effectively in a fast-paced, high-volume environment with diverse populations. Proficiency in critical thinking, organizational skills, and electronic medical record systems are essential, with a preferred emphasis on experience using Epic. Additional healthcare worker requirements include compliance with health mandates such as vaccinations and screenings relevant to exposure risks within clinical environments.

Job Requirements

- Four years of related work experience including two years at next lower job level
- Ability to communicate effectively with diverse populations
- Proficiency in electronic scheduling systems such as Epic

Job Duties
- Answer telephone calls and assess urgency of call
- Provide assistance or direct callers to appropriate personnel
- Provide specialized information on policies, procedures, insurance, and services
- Assist patients with form completion
- Build and modify provider master schedules and clinic calendars
- Create patient bump lists due to provider call outs
- Schedule patient appointments and resolve scheduling conflicts
- Notify patients of appointment changes and prioritize scheduling urgency
- Receive patients and visitors, secure information, update patient records, verify insurance, and track referrals
- Initiate billing processes and accept fee payments
- Book diagnostic tests and specialized appointments
- Schedule surgical procedures and coordinate related pre and post operative exams
- Schedule and coordinate departmental meetings and clinics
- Utilize computer systems to input and retrieve data and generate reports
- Keyboard correspondence and educational materials
- Obtain and verify patient charts and medical records
- Sort, screen, and distribute mail
- Maintain filing systems and office supply inventory
- Oversee and instruct support staff
