Job Description

The firm hiring for the Client Services & Events Coordinator position is a professional organization located in Washington, D.C., renowned for its commitment to excellence and superior client engagement. This position offers a full-time employment opportunity with working hours from 10:30 a.m. to 6:30 p.m., Monday through Friday, with a salary range of $60,000 to $70,000 plus overtime. The Client Services & Events Coordinator plays a vital role in supporting the firm's day-to-day operational efficiency and delivering a high standard of customer service. The successful candidate will be responsible for greeting and escorting guests, coordinating both internal and external events, and managing conference bookings with meticulous attention to detail. This role is pivotal to ensuring that all client interactions are handled professionally, creating positive and lasting impressions. Additionally, the role supports travel arrangements for partners, employees, and clients, working closely with external travel service providers and managing travel authorizations and approvals.

Beyond these core responsibilities, the Coordinator actively collaborates with various internal service departments such as Facilities, IT, Legal Personnel, Human Resources, and Secretarial Services to streamline processes and enhance service delivery. The role demands exceptional organizational and project management skills, as it involves planning and executing onsite and offsite events, managing vendor relationships, and handling communications related to events and travel.

Moreover, the Coordinator assists in the use and management of event planning software like Cvent and booking software such as Rendezvous, contributing to the ongoing improvement of event workflows and data management. This position requires excellent communication and interpersonal skills to work effectively with lawyers, staff, and clients at all levels, ensuring seamless coordination and successful event execution.

Job Qualifications

Job Duties

  • Greets and escorts arriving clients
  • answers and routes incoming calls
  • reserves conference rooms and coordinates related services including food and beverage, audiovisual, facilities, signage, materials, security, and secretarial support
  • arranges domestic and ground transportation reservations
  • maintains familiarity with emergency procedures and partner preferences
  • builds and maintains effective working relationships with internal departments
  • handles phone calls and emails for booking requests and changes
  • communicates with clients before, during, and after events
  • provides onsite event support such as preparing name tags and managing coat check
  • plans and executes offsite events including site selection and contract negotiation
  • ensures event communications adhere to firm standards
  • assists with project management for larger events
  • supports event management software projects and updates
  • researches venues and vendors
  • maintains attendance records for events
  • uses project management tools like timelines and budgets
  • assists with travel projects and travel approvals
  • supports implementation of travel booking software
