The company is currently seeking a confident, driven, and enthusiastic Client Concierge to join their dynamic team. This position serves as a crucial link between patients and the spa's services, playing a vital role in the company’s overall success. As a Client Concierge, you will be responsible for managing the front desk, warmly greeting clients both in person and over the phone, and delivering an exceptional experience from the moment clients walk through the door. Your role will involve educating clients on the wide variety of services available at It's A Secret Med Spa, assisting providers and managers with scheduling, maintaining appointment books, and ensuring that the point of sale (POS) system is accurately managed to maintain seamless operations.

A typical day will see you performing various front desk duties, including checking patients in and out, answering inquiries, overseeing inventory counts, and keeping supplies well stocked. You will also be responsible for upholding a professional and clean environment throughout the facility, creating a welcoming atmosphere that reflects the spa’s commitment to quality service. Compliance with company policies and procedures will be essential to ensure streamlined processes within the location, contributing to operational efficiency.

This role requires someone with strong multitasking skills who can remain attentive to clients’ needs while adapting to business demands. Communication skills are critical, as you will interact with clients regularly and need to engage with proper etiquette and professionalism. The ideal candidate will possess an enthusiastic, friendly, and energetic personality and demonstrate a genuine desire to provide outstanding service. Maintaining patient confidentiality in accordance with HIPAA regulations and company policies is mandatory. Candidates must also have sound judgment, problem-solving capabilities, decision-making skills, and the physical ability to sit or stand for extended periods, reach above shoulder height, and occasionally lift or push up to 50 pounds.

It's A Secret Med Spa prefers individuals with previous customer service experience, particularly in a medical spa or medical office setting, but is open to flexible schedules including weekend availability. Bilingual candidates are especially welcomed as an added advantage. Job Requirements

  • Previous customer service experience (1 year)
  • Flexible schedule with the ability to work weekends
  • Previous experience working in a med spa or medical office preferred
  • Excellent written and verbal communication skills
  • Ability to communicate with proper etiquette
  • Ability to multi-task while being attentive to clients and remaining flexible to the needs of the business
  • Ability to work as part of a team and take initiative
  • Enthusiastic, friendly and energetic personality with a genuine desire to provide outstanding service
  • Must maintain patient/client confidentiality in accordance with HIPAA regulations and company policy
  • Must maintain a high level of integrity with a strong ethical foundation
  • Must have sound judgment, problem solving, and decision-making skills
  • Must be able to sit or stand for long periods of time
  • Must be able to reach above shoulder height, crawl, kneel, and push/pull up 50 lbs
  • Must have a working knowledge of Microsoft applications
  • Bilingual preference given

Job Duties

  • Warmly greeting clients in person and over the phone
  • Providing basic knowledge and education about the wide variety of services
  • Managing front desk duties such as checking patients in/out, answering phone calls, greeting clients, overseeing inventory counts, and keeping supplies stocked
  • Maintaining a clean and professional environment throughout the facility
  • Assisting providers and managers with client scheduling and maintaining appointment books
  • Complying with all company policies and procedures to ensure streamlined processes
  • Managing the POS system effectively and accurately with all client appointment and employee information
