The role of Client Care Coordinator at MOOV Health & Wellness is a vital position that focuses on delivering an elevated client experience, combining high-touch service with consultative sales to effectively drive revenue growth. This full-time position involves welcoming members and guests warmly, responding to inquiries, assisting members in understanding service benefits, and providing seamless support throughout their wellness journey. The Coordinator will be instrumental in managing daily center operations, maintaining compliance with confidentiality and HIPAA standards, and coordinating treatment flow to optimize efficiency.

The Client Care Coordinator is responsible for processing payments, tracking sales and memberships, and actively converting consultations into booked services and package plans. This role requires a dynamic individual passionate about wellness who possesses strong sales skills, excellent communication abilities, and a deep understanding of health and wellness principles. Day-to-day duties include educating clients about MOOV's health offerings, promoting add-ons and upgrades, following up on leads and missed opportunities, and serving as a liaison between clinical staff and clients to ensure continuity of care.

Job Requirements

  • High school diploma or GED equivalent
  • Minimum two years experience in medspa, medical office, luxury retail, or high-touch sales environment
  • Proven sales experience with ability to close packages and memberships
  • Previous customer-facing experience
  • Technological literacy with digital and virtual care platforms
  • Interest in health, wellness, and fitness
  • Ability to work flexible hours including evenings and weekends
  • Preferred certifications in Lifestyle Medicine, Functional Medicine, Integrative Medicine
  • Preferred training in Procedure Medical Aesthetics
  • Experience in MedSpa, health and wellness preferred
  • Excellent verbal and written communication skills

Job Duties

  • Welcome members and guests into the facility ensuring warm, genuine, and efficient first interactions
  • Answer patient and client inquiries promptly and politely while documenting appropriately
  • Educate members on benefits of each service
  • Provide smooth startup for members on scheduled equipment or services
  • Maintain operations by following policies and reporting needed changes
  • Accurately document appointments, notes, and sales
  • Process payments, retail, memberships, and package sales correctly
  • Maintain confidentiality and HIPAA compliance
  • Assist with daily reports, sales tracking, and front desk metrics
  • Assist clients with questions about retail products
  • Serve as expert concierge, preempt clients' needs and provide education
  • Verify consent and intake forms ensuring seamless handoff to clinical staff
  • Coordinate treatment flow to minimize wait times
  • Assist in daily center operations including opening and closing
  • Educate clients on MOOV services, wellness programs, and treatment benefits
  • Convert consultations into booked services and packages
  • Recommend add-ons, upgrades, and complementary treatments
  • Promote memberships, prepaid packages, and wellness plans
  • Follow up with leads, missed opportunities, and post-treatment check-ins
  • Track sales performance and work toward monthly revenue goals
  • Send test kits, equipment, documents to clients as directed
  • Support clients in understanding treatment plans and protocols
  • Reinforce provider recommendations to increase adherence
  • Schedule follow-up visits and ongoing care plans
  • Build long-term client relationships through communication
  • Act as liaison between providers, nurses, and clients for care continuity
