This includes managing incoming and outgoing mail, operating the Resident Bank, handling cash receipts, and performing routine clerical activities such as data entry, filing, faxing, and preparation of reports. The receptionist may also be involved in health safety protocols, including COVID-19 visitor screenings, ensuring the overall safety and compliance of the facility.

Ideal candidates will have at least one year of clerical experience that involves substantial customer service, with basic proficiency in office software like Microsoft Office. Strong communication skills, the ability to multitask, and the capacity to handle sensitive information with discretion are essential. The physical aspect of the job requires daily activities such as walking, sitting, talking, hearing, and occasional lifting of up to 25 pounds.

Job Duties

  • Greet guests professionally and hospitably at the reception desk
  • Answer routine questions and direct visitors and calls appropriately
  • Provide friendly and professional customer service via telephone, email, and in person
  • Manage phone system and voicemail messages for the facility
  • Receive, sort, and distribute facility and resident mail
  • Accept cash receipts and provide receipts for payments
  • Operate Resident Bank during posted hours
  • Make public announcements over the intercom system
  • Maintain resident filing systems and ensure completeness
  • Perform clerical functions such as filing, data entry, report preparation, copying, faxing, and digitizing
  • Conduct routine COVID-19 visitor screenings and disinfect work areas as necessary
  • Maintain confidentiality and comply with Resident Rights and HIPAA regulations
