The Clerical Technician 2 - Receptionist position at Gracedale Nursing Home serves as a critical point of contact for residents, visitors, and staff. This role is essential for maintaining a welcoming atmosphere while performing various clerical and administrative tasks to support the Business Office. The Receptionist acts as the 'Director of First Impressions,' greeting guests with professionalism and warmth, addressing routine inquiries, and directing individuals appropriately as needed. The position requires strong interpersonal and communication skills, both verbal and written, to effectively assist a diverse clientele. Key responsibilities include managing the inbound telephone system, handling voicemail, receiving and distributing mail, operating resident bank transactions, and performing clerical duties such as data entry, filing, and report preparation. The Receptionist must navigate a high-pressure environment with diplomacy and tact, uphold confidentiality with regard to resident information and HIPAA regulations, and contribute to safety measures such as routine COVID-19 visitor screenings when necessary. This role reports directly to the Business Office Manager and does not hold supervisory responsibilities. Employees will engage in a feeding program training to enhance their ability to provide resident support. The ideal candidate will exhibit excellent time management, multitasking capabilities, and familiarity with office equipment and software, including Microsoft Office.

Job Requirements
- completion of a high school or general equivalency diploma
- at least one year of clerical work experience with customer service
- successful completion of feeding program training
- ability to use standard office equipment and Microsoft Office

- must be able to lift or move boxes up to 25 pounds

Job Qualifications

Job Duties
- greet guests in a professional, friendly, and hospitable manner
- answer routine questions from employees, residents, and visitors or direct to appropriate staff when necessary
- provide exceptional customer service via telephone, email, or in person
- provide accurate facility directions for visitors
- manage phone system and incoming call flow
- maintain general voicemail messages
- receive, sort, and distribute facility and resident mail
- post all outgoing facility mail
- accept over the counter cash receipts and provide receipts
- operate resident bank during posted hours
- make public announcements over intercom system
- maintain active and archived resident filing system
- perform clerical functions including filing, data entry, report preparation, mass mailings, copying, digitizing, faxing
- demonstrate discretion with resident rights and HIPAA regulations
- perform routine COVID-19 visitor screenings when directed
