This part-time role places the individual at the heart of administrative leadership within the church, focusing on the coordination of room scheduling, event management, and on-site logistics to ensure all church events run efficiently and effectively. The Central Event Coordinator is responsible for collaborating closely with various internal teams such as Facilities, Cafe, Tech, and Security to align resources and staffing needs with upcoming events. This includes acting as the primary liaison for scheduling, planning, and invoicing when interacting with external organizations interested in hosting events on the church campus.
Key responsibilities include managing the master calendar to prevent scheduling conflicts, overseeing the setup and proper utilization of meeting spaces, and ensuring that event management systems like eSpace are current and comprehensive. The coordinator also supports events with up to or exceeding 1,000 attendees, providing on-site assistance to guarantee that all logistical aspects meet the set standards. This role demands an individual who can not only manage multiple tasks simultaneously but also one who is proactive in identifying and resolving procedural inefficiencies within event planning and project management contexts.
Additionally, the Central Event Coordinator is entrusted with the development of policies and procedures that enhance overall event management practices within the church. They serve as a bridge between administrative staff and facilities, ensuring seamless communication and coordination. The ability to communicate the church’s vision, mission, and strategic initiatives clearly and positively in all interactions is essential. Job Requirements

Job Duties
- Act as main point of contact with scheduling, planning, and invoicing external organizations for events on campus
- Work closely with Facilities (Housekeeping), Cafe, Tech and Security to determine exact needs for events scheduled on master calendar
- Work with each team to develop a process to proactively enhance their abilities to perform for events including additional staffing needs for events
- Help to manage these resources appropriately
- Determine the support work needed for events scheduling, event technical needs, and paperwork administration
- Adhere to established policies/procedures established for ministry partners and outside inquiries
- Act as on-site support with events with 1,000 people or more
- Work closely with various SBC ministries on internal event planning that impacts master calendar and the stewardship of our facility/resources
- Monitor eSpace and other systems used regarding all scheduling for room assignments for classes, events, etc. on campus
- Work closely with facilities/housekeeping staff to help manage resources to accomplish objectives
- Act as bridge between administrative staff and facilities to ensure proper utilization and set-up of meeting space
- Ensure event management system is up to date with all current initiatives as a planning tool for the entire staff
- Coordinate with internal ministries on the utilization of internal resources
- Work cross-functionally with each SBC Ministry on all internal and external events
- Develop policies and procedures for events at SBC by working alongside administrative support personnel
- Identify areas of breakdown in "processes" in project management, all-church events, etc. and work with the Minister of Campus Experience to help resolve
- Articulate church vision, mission, and strategic initiatives in all communication opportunities
- Provide a positive, welcoming image by phone and in-person as an SBC representative
- Related duties or special projects as assigned
