The Center Operations Specialist role, based at Laughlin Air Force Base, is vital for ensuring the smooth and effective running of one or more USO Centers. This full-time position is designed for dedicated individuals passionate about delivering exceptional customer service and operational excellence while creating memorable experiences for service members and their families. The Specialist acts as the hub of activity within the Centers, ensuring the environment is safe, clean, and inviting while expertly managing inventory, budgets, vendors, and volunteers.
The role goes beyond daily operations; it also involves planning, executing, and managing a wide range of programs, events, and activities both within the Center and on or off military installations. The Center Operations Specialist collaborates closely with multiple stakeholders, including USO leadership, military representatives, community leaders, and donors to enhance program visibility and success. Additionally, the Specialist plays an important role in volunteer management, including recruitment, training, recognition, and communication, thereby building a strong volunteer base to support the Center’s mission.
Given the sensitive nature of the work and the importance of safety and professionalism, a strong understanding of military community culture, confidentiality, and sound judgment regarding sensitive subjects is essential. Job Requirements
- High school diploma or equivalent
- Two or more years experience in event management marketing retail customer service recreation or related field
- Experience in nonprofit military multicultural or global organizations is a plus
- Strong interpersonal communication and problem-solving skills
- Proficient with computers including Microsoft Office and social media platforms
- Experience with volunteer management software preferred
- Ability to maintain confidentiality and exercise sound judgment
- Self-motivated with strong attention to detail and ability to multitask
- Able to adapt quickly to changing needs in a dynamic environment
- Willingness to work non-standard hours
- Ability to obtain and maintain required security and background clearances
- Valid driver’s license and ability to operate vehicles
- Commitment to the USO mission
- Local candidates preferred for Laughlin AFB location
Job Qualifications
- High school diploma or equivalent
- Two or more years work experience in event management marketing retail customer service recreation facility or related role
- Relevant experience in nonprofit military multicultural or global organization preferred
- Strong interpersonal customer service and problem-solving skills
- Ability to interact professionally with USO leadership general public and military audiences
- Proficiency using computers and electronics equipment
- Working knowledge of Microsoft Office Suite
- General knowledge of volunteer management software and social media platforms
- Experience with Digital Cheetah preferred
- Ability to exercise sound judgment on controversial or culturally sensitive subjects
- Ability to handle confidential information tactfully
- Demonstrated initiative self-motivation and attention to detail
- Ability to manage multiple projects with competing priorities
- Ability to adapt to changing organizational needs
- Ability to work collaboratively in a team environment
- Basic math skills and knowledge of cash donation handling business accounting project management and budget reconciliation
- Willingness and ability to work non-standard hours as needed
- General knowledge of military community preferred
- Ability to obtain and maintain credentials necessary to access USO centers including security and background screening
- Ability to obtain and maintain valid United States passport and foreign driver's license where applicable
- Strong advocate of the USO’s mission
Job Duties
- Execute day-to-day Center operational procedures ensuring a cost-effective safe welcoming and clean environment
- Monitor and maintain facilities and equipment ensuring they are well-maintained and ready-to-use
- Enforce sanitary and food-handling guidelines and regulations
- Engage and interact with Center visitors serving as a subject matter expert about its amenities tours classes programs and services
- Troubleshoot to resolve issues
- Help to maintain Center operations within budget
- Monitor maintain and accurately report on inventory and handle cash
- Provide data for financial operational and statistical reports as requested
- Create and maintain a Standard Operating Procedure file detailing local operational procedures and Center activities
- Help to plan oversee and lead the execution of operational areas including programs logistics inventory management budget social media and database management
- Assist with operations and program communications and awareness including preparing announcements stories and photos for social media and local media
- Deliver or assist in managing the planning and evaluation of USO programs activities and events on and off military installations
- Assist in reviewing USO programs and service needs including researching and recommending new programs and services
- Develop and maintain working relationships with military community leaders partners donors and media to enhance awareness and support
- Coordinate resources including volunteers materials and supplies for all programs events and activities
- Serve as a programs resource to colleagues and oversee volunteer participation
- Communicate key information to volunteers maintaining and generating reports from volunteer databases
- Direct prospective volunteers through application process and help coordinate on the job training
- Implement volunteer recognition events and submit Volunteer of the Quarter nominations
- Operate a USO or personal vehicle as required
- Perform other duties including backfilling for Center Operations Manager or other positions as directed by senior leaders
