The Center Operations Specialist role is pivotal in bringing the USO's mission to life at one or more USO Centers. This position takes responsibility for the day-to-day operational management of the Centers, ensuring they maintain a safe, friendly, clean, and inviting atmosphere for military service members and their families. The specialist is tasked with delivering and sometimes designing high-quality, cost-efficient, and self-sustaining programs, events, and activities both within the Centers and in the surrounding locations. By fostering positive and engaging experiences, this role directly impacts the morale and welfare of the military community served by the USO.

Detailed and multifaceted, the Center Operations Specialist must excel in operational planning, facility management, customer service, and volunteer coordination. The role involves enforcing safety, sanitary and food-handling guidelines, managing budgets, inventories, and cash handling, as well as producing accurate financial and statistical reports. The specialist is also responsible for creating and maintaining Standard Operating Procedure documents to support seamless operation and easy transition within teams.

Communication is another key aspect of the position; the specialist is expected to assist in enhancing program visibility and awareness through social media, local media, and website content, always adhering to the organization's media guidelines. Working closely with military stakeholders, community leaders, partners, donors, and media representatives, the specialist helps build and sustain relationships that advance the USO’s mission and support program delivery.

Volunteer management is a critical component of the role, involving training, scheduling, reporting, recognition, and retention activities that ensure the USO's volunteer base remains motivated and effective. The Center Operations Specialist must be able to adapt to non-standard work hours and demonstrate sound judgment, discretion, and a proactive approach to managing multiple projects and priorities in a dynamic environment.

Located in Fort Shafter, HI, this position offers a salary range between $48,300 and $69,000, with preference given to candidates who reside within commuting distance. Job Requirements

  • High school diploma or equivalent
  • 2+ years work experience in event management marketing retail customer service recreation facility or related role
  • Relevant experience in nonprofit military multicultural or global organization preferred
  • Strong interpersonal customer service and problem-solving skills
  • Proficiency in computers and electronics including Microsoft Office Suite
  • Knowledge of volunteer management software and social media platforms preferred
  • Ability to exercise sound judgment on sensitive and confidential information
  • Ability to manage multiple projects with attention to detail
  • Ability to work collaboratively in a team environment
  • Ability to perform basic math and follow proper cash handling and reporting
  • Willingness and ability to work non-standard hours
  • General knowledge of military community preferred
  • Ability to obtain and maintain security clearances and valid driver’s license
  • Ability to obtain and maintain valid US passport and foreign driver’s license where applicable
  • Must be a strong advocate of the USO’s mission

Job Duties

  • Execute day-to-day Center operational procedures ensuring a cost-effective safe welcoming and clean environment
  • Monitor and maintain facilities and equipment enforcing sanitary and food-handling guidelines
  • Engage and interact with Center visitors serving as a subject matter expert about amenities tours classes programs and services
  • Help maintain Center operations within budget monitoring inventory handling cash and providing operational and financial reports
  • Create and maintain a Standard Operating Procedure file detailing local operations and activities
  • Assist in planning overseeing and leading execution of operational areas including programs logistics inventory management budget social media and database management
  • Assist with communications compiling preparing announcements stories and photos for social media local media and website publications
  • Deliver or assist in managing planning and evaluation of USO programs activities and events including coordinating materials and assets
  • Assist Center Operations Manager in reviewing programs and service needs recommending and implementing changes
  • Develop and maintain relationships with military community leaders partners donors and media representatives
  • Coordinate resources including volunteers materials and supplies for programs events and activities
  • Communicate key information to volunteers maintaining volunteer database generating reports and coordinating training
  • Direct prospective volunteers through application process implement volunteer recognition events submit Volunteer of the Quarter nominations
  • Operate USO or personal motor vehicle as required
  • Perform other duties including backfilling positions as directed by senior leaders
