The Event Sales Coordinator role at SSA Holdings is a vital part of the Catering & Events Sales Team focused on managing school group meals, birthday parties, and other event details passed along by the sales department. This position requires meticulous coordination, communication, and execution skills to oversee all catering and event services for group events. Reporting directly to the Catering Sales Manager or Director of Catering & Events, the Event Sales Coordinator is tasked with organizing event details, finalizing logistics, and adapting to event changes while maintaining a strong client relationship through direct communication. This role acts as a bridge between clients and internal teams, including operations and culinary departments, ensuring events are executed flawlessly and customer expectations are met.
The coordinator will handle responsibilities such as preparing contracts, banquet event orders (BEOs), diagrams, and other necessary documentation, as well as upselling services and managing deposits and payments. To excel, the ideal candidate needs a deep understanding of space feasibility, menu planning, and event setup, including staffing, linens, equipment, and execution. SSA emphasizes that the coordinator should embody the 452 Hospitality philosophy by creating warm and welcoming experiences and maintaining professionalism in all client and team interactions.

Job Requirements
- Strong interpersonal and communication skills
- Understanding of team building and development

- Demonstrated financial management, merchandising, analytical, planning and leadership skills
- Ability to remain flexible in a fast-paced environment
- Computer knowledge and skill for basic office functions
- Physical ability to stand for extended periods and handle boxes up to 35 lbs
- Ability to work varied hours including nights, weekends, and holidays
- Must be 18 or older
Job Qualifications
- One to two years minimum catering sales and/or event planning experience in off-site catering, hotel or cultural attraction catering venue preferred
- BEO knowledge and execution
- Strong interpersonal and communication skills
- Exceptional problem solving and decision making skills
- Demonstrated financial management, merchandising, analytical, planning and leadership skills
- Ability to remain flexible in a fast-paced environment
- Computer knowledge for basic office functions
- Knowledge of menu and event planning
Job Duties
- Deliver warm, welcoming, and memorable experiences for every guest and client
- Handle all birthday inquiries
- Upsell and detail the event with the client
- Prepare contracts, BEO's, diagrams, and internal documents
- Provide thorough and timely communication with clients
- Collaborate with Catering Operations, Culinary Team, and other departments to ensure operational excellence
- Uphold and demonstrate understanding of company policies and procedures
