Job Description

The role of Catering Coordinator is essential in supporting the Catering Sales Team by managing the logistical and administrative aspects of food and beverage events held at the convention center. The coordinator acts as a key liaison between clients, catering staff, and sales personnel, ensuring all parties are aligned throughout the planning and execution process. Responsibilities include advising clients on rates, coordinating catering services, and preparing detailed event contracts and banquet event orders (BEOs). The Catering Coordinator must possess strong verbal and written communication skills to interact effectively with clients and team members. This role requires multitasking capabilities and a proactive, self-motivated approach to work. Additionally, a foundational understanding of banquet and catering sales, event advertising, and special event management is advantageous. The successful candidate will play a pivotal role in maintaining the seamless execution of catering events, enhancing client satisfaction and contributing to the convention center's reputation for excellence. This position calls for a flexible schedule commitment as it may involve working nights, early mornings, weekends, and holidays to meet the ever-changing demands of event schedules.

Job Requirements

  • High school diploma or equivalent GED required
  • 1-2 years of previous experience in an administrative support position, preferably in a sales capacity at a hotel, convention center or related meeting preferred
  • Ability to communicate clearly, accurately and concisely in the English language, both orally and in writing
  • Type at a speed necessary for successful job performance
  • Ability to prioritize work and effectively resolve workload issues
  • Strong computer skills in Windows environment and MS Office applications
  • Ability to work a flexible schedule including nights, weekends and select holidays as required

Job Qualifications

  • 1-2 years of previous experience in an administrative support position, preferably in a sales capacity at a hotel, convention center or related meeting preferred
  • High school diploma or equivalent GED required

Job Duties

  • Assist Catering Sales Team in creating and distribution of accurate banquet event orders
  • Assist Catering Sales Team in responding to leads
  • Assist Catering Sales Team in securing concessions vendors for retail events
  • Prepare event contracts, sales folders, sales kits and correspondence to clients
  • Enter and maintain complete and accurate information into booking system
  • Work with clients and facility staff to determine event needs and opportunities for upselling food and beverages and other services
  • Represent the facility to potential facility users and respond to inquiries regarding catering services
  • Assist with the collection of deposits
  • Create and maintain event files and distribute and reconcile all event folders and respective checklists for the department
  • Represent the department at weekly operational meetings and attend weekly banquet event order meetings
  • Update event revenues in computerized event booking and management system for forecasting
  • Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and provide quality seamless customer service
  • Work a flexible schedule including long nights, early mornings, weekends and holidays as needed
  • Perform other duties as required
