The role of Board Administrative Assistant at Good Foods Co-op is a part-time, contract position with a starting wage of $15.86 per hour, requiring a flexible commitment of approximately 5 to 20 hours per month. This role is essential to support the work and leadership of the Board of Directors and General Manager. The Board Administrative Assistant provides key administrative and organizational support, ensuring smooth communication and efficient governance of the cooperative. Essential activities include preparing and distributing board meeting materials, attending meetings and accurately recording minutes, managing calendars and contact lists, as well as coordinating logistics for meetings and events such as retreats and the Annual Owners Meeting. This position balances remote administrative work with in-person responsibilities, requiring attendance at monthly evening board meetings and events.

Ideal candidates for this role will be highly organized, detail-oriented, and self-directed professionals who are comfortable managing multiple priorities simultaneously. Strong communication skills are crucial, both verbal and written, to support interaction between board members and cooperative management effectively. Job Requirements

  • High school diploma or equivalent
  • Proven experience in administrative support or related field preferred
  • Ability to attend monthly evening meetings and special events in person
  • Proficiency in using cloud-based software such as Google Drive and Google Docs
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to work independently and manage multiple priorities
  • Discretion and professionalism with confidential information
  • Availability for flexible part-time hours approximately 5 to 20 hours per month

Job Duties

  • Preparing and distributing board meeting packets and materials
  • Attending board meetings in person and accurately recording meeting minutes
  • Maintaining organized paper and electronic board records and Governance Policies
  • Managing board calendars, contact lists, and meeting schedules
  • Supporting and attending board trainings, retreats, Annual Owners Meetings, and special events
  • Coordinating meeting logistics including room reservations and catering arrangements
  • Monitoring and responding to board administrative emails
  • Posting board meeting summaries on the website and in-store communication areas
  • Maintaining organized digital files within Google Drive systems
  • Supporting communication between board members and the General Manager
  • Completing follow-up tasks and administrative projects as assigned
